Job Summary: IAC and Adelphi Construction are seeking a
highly skilled and detail-oriented Senior Executive Assistant to support
key senior leaders within our organization. This role is essential to ensuring the seamless operation of
executive-level functions in a
fast-paced, high-growth EPC (Engineering, Procurement, and Construction) environment. As the
right-hand support to several of our key executives and departments, you will manage critical administrative tasks, coordinate multi-faceted projects, facilitate cross-department collaboration, and maintain highly confidential business matters. Your ability to
anticipate needs, problem-solve efficiently, and execute tasks with precision will be key to success in this role. This role goes beyond traditional administrative tasks-it requires
a proactive, strategic mindset and a deep understanding of the
EPC industry's operational demands, including
procurement, project timelines, construction management, and stakeholder engagement. We are looking for a
high-energy, adaptable professional who thrives in a role that combines
administrative mastery, project management, executive support, and business coordination at the highest level.
Key Responsibilities: Executive & Administrative Support: Serve as the
primary point of contact for senior executives, acting as a
gatekeeper and liaison with internal and external stakeholders
Manage complex executive calendars, prioritizing high-level meetings, events, and strategic engagements
Prepare and edit
reports, business correspondence, PowerPoint presentations, and executive summaries Coordinate
executive travel arrangements, including flights, lodging, and itineraries for domestic and international trips
Handle
highly confidential and sensitive information with discretion and professionalism
Project Coordination & EPC Support: Assist in the
management of EPC project timelines, vendor coordination, and procurement documentation Track
project deliverables, ensuring adherence to construction schedules, procurement milestones, and engineering deadlines Process and track
purchase orders (POs), vendor invoices, and procurement requests, working closely with finance and project management teams
Develop and maintain
project dashboards, budget reports, and compliance tracking systems Support the coordination of
RFQs (Request for Quotes), RFPs (Request for Proposals), and contract negotiations Senior-Level Executive & Strategic Duties: Assist senior executives in
strategic planning efforts, supporting high-level decision-making with research and data analysis
Facilitate
board meetings, executive roundtables, and leadership team discussions, preparing agendas, minutes, and follow-ups
Draft and review
executive communications, speeches, and reports for internal and external distribution
Collaborate with HR and talent acquisition teams to
coordinate executive-level hiring, onboarding, and leadership training initiatives Serve as a
trusted partner in business operations, identifying process inefficiencies and recommending improvements
Process Improvement & Compliance: Identify opportunities for
process optimization, automation, and administrative efficiency Ensure compliance with
EPC industry regulations, company policies, and safety protocols Maintain
accurate and organized documentation, ensuring alignment with
regulatory, financial, and legal requirements
Qualifications & Requirements: Bachelor's degree in Business Administration, Engineering, or a related field
required 7+ years of experience as an Executive Assistant,
at least 3 years in a large EPC organization Strong knowledge of
engineering, procurement, and construction workflows Proficiency in ERP systems, procurement tracking tools, and document management software Advanced skills in
Microsoft Office Suite (Excel, PowerPoint, Word, Outlook) Experience managing
multi-million-dollar budgets, purchase orders, and vendor contracts Exceptional
organizational, multitasking, and problem-solving abilities Strong written and verbal
communication skills, with the ability to interface at all levels of the organization

Types of Projects We Pursue At IAC/Adelphi Construction, we focus on a diverse range of projects within various industries. Our expertise includes cement plants and terminals, turnkey plant construction, equipment installation, and both mechanical and electrical services, along with field labor services. We also pursue opportunities in lime, steel, mining, and minerals, as well as smelting operations, including both primary and secondary smelting.
