Description / Position Overview Senior Business Support SpecialistAbout the Job: In this position, you will perform administrative activities in support of the Planning Department at the City of Colorado Springs. You will play a critical role in managing the public hearing process for development projects. Your contributions will blend the finesse of administrative tasks with the precision of technical expertise. We are looking for a self-starter with a high degree of attention to detail and multitasking abilities.

Work Schedule: Monday - Friday. Occasional after hours work due to Boards and Commission meetings.

As a Senior Business Support Specialist, you will: - Coordinate and facilitate all administrative processes and meetings for City Planning Commission, Downtown Review Board, and Historic Preservation Board
- Use Granicus/Legistar and Microsoft Teams to moderate and record City Planning Commission, Downtown Review Board, and Historic Preservation Board meetings
- Ensure technology and supplies are ready and available for meetings
- Use Granicus/Legistar to manage Planning items for City Planning Commission, Downtown Review Board, Historic Preservation Board, and City Council meetings, including creating and uploading pertinent documents, initiating the approval process, creating agendas, and creating meeting minutes
- Coordinate with City Clerk and local print media to post agendas to the public
- Regularly communicate with Planning, City Clerk, City Attorney, City Council, members of commissions and boards, and the public
- Schedule meetings for and manage the calendar of the department director
Knowledge, Skills, and Abilities:Knowledge of: - Modern office procedures and technology, including computers and supporting software applications
- Knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams) and Adobe Pro
- Proper English usage, spelling, punctuation and grammar
- Personality traits and behavioral skills to interact with appointed boards and commission, elected officials, consultants, the public, and constituents
Ability to: - Show initiative and act independently to resolve problems
- Work in a dynamic and fast-paced environment
- Prioritize competing duties in order to meet multiple deadlines
- Quickly learn pertinent code, ordinances, regulations and department procedures
- Achieve results with minimal supervision
- Meticulous attention to detail
Minimum Qualifications- High school diploma or GED
- Five years of full-time clerical or business support experience
Preferred Qualifications- Experience working in a Planning/Land Use department
- Experience working with Legistar and/or Granicus
- Experience taking meeting minutes
- Experience working in a municipal government setting
- Experience supporting a senior manager or director
