GENERAL DESCRIPTION OF WORK:
Provides project coordination, functional expertise, and contributes to improvements and enhancements for mission-critical, enterprise-wide information systems. This position is responsible for the smooth operations of all VIA Financial/Maintenance systems and related hardware/software. This includes account administration, maintenance tracking, license tracking and compliance and all technical aspects of maintaining high availability on all VIA financial/maintenance systems. The position is responsible for control for assigned modules or systems, serving as a liaison between functional and technical resources to manage the development of new system functionality, upgrades, system modifications, and day-to-day problem analysis, issue tracking, resolution and change management. Acts as the lead liaison between VIA functional areas and the ERP/EAM systems during implementation and post-implementation. This position is responsible for researching, gathering, and analyzing business, technology, and user requirements for the ERP/EAM system projects.
ESSENTIAL FUNCTIONS:
System Implementation
Conducts systems analysis and design of business processes involving evaluation of current and proposed information and business process flow, available and emerging technologies and its cost and benefits.
Leads, develops, and documents user requirements from end user input for new or existing systems, business processes and applications.
Recommends software and hardware based on systems analysis along with evaluation of products and vendors.
Creates requests for proposal (RFPs) or requirement specifications and evaluate proposal submissions.
Leads requirements capturing sessions, drives consensus across departments, and challenges where necessary.
Shepherds cross-functional teams through all project phases from conception and initiation, planning, execution, performance/monitoring, and project closure.
Documents systems and business processes according to Technology & Innovation's standards.
Serves as an internal consultant to both project teams and to the executive management teams on enterprise analysis and organizational development.
Resolves or assists in the resolution of conflicts within and between stakeholders, functional areas, and the ERP vendor.
Develops and maintains a project deliverables plan and a client communication plan. Manages client expectations of deliverables.
Provides direction and support to project team.
Provides testing and quality assurance.
Works with the selected vendor to develop and schedule appropriate training plans.
Requires general knowledge of policies, procedures, programs, and business goals.
Supports the organization's key business processes and applications and recommends business process redesign where applicable.
Trains personnel in ERP system use to ensure all users know how to leverage system features and assists in implementing and training users on new features and modules.
Gathers and documents business requirements for large, complex projects.
Translates requirements into business, functional and use case documents for large, complex projects.
Provides functional expertise to developers during the design and construction phases of projects.
Develops and executes comprehensive system test plans, conditions, test scripts, and test cases.
Maintains business systems standards by applying project management methods, tools and processes as standard practice.
Responsible for the following items on all financial/maintenance systems: user account creation, system security, hardware maintenance, system tuning, resource monitoring, software installation and configuration.
Plans, organizes, configures, and documents all financial/maintenance systems and functions.
System Management
Identifies opportunities for improving business processes through information systems.
Researches, plans, gathers, and analyzes business and user requirements for projects.
Interfaces with projects subject matter experts to analyze and design solutions and to provide recommendations on deliverables.
Assesses and analyzes processes and procedures to identify improvement opportunities. Creates content that is easy to read, thorough, flows logically, edited, indexed, and formatted.
Elicits requirements utilizing interview, document analysis, business process descriptions, use cases, scenarios, business, task, and workflow analysis, etc.
Translates requirements into a document ensuring requirements are clear, concise, and repeatable.
Analyzes, defines, and documents requirements for data, workflow, logical processes, hardware, and operating system environment, internal and external checks and controls, interfaces with other systems, and outputs.
Acts as the lead liaison for ERP/EAM communicating user needs to TI and project teams through a variety of project specific documents.
Identifies and reports on compliance issues that require follow-up or investigation. Track and fully document changes for functional and business specifications.
Consults with Project Managers, subject matter experts (SME's), technical staff, and stakeholders to identify, define, interpret, integrate, and document business needs and objectives, current operational procedures, problems, input and output requirements, and levels of systems access.
Acts as a liaison between users and Technology and Innovation in the analysis, design, configuration, testing, and maintenance of case management systems to ensure optimal operational performance.
Assist vendor with periodic ERP/EAM patch and/or upgrade activities.

EDUCATION AND EXPERIENCE:
Bachelor's degree in computer science, business or management related discipline with 5 or more years of experience in systems management, or an equivalent combination of education and experience. Computer programming experience is desirable.
ADDITIONAL REQUIREMENTS:
Experience with systems analysis theory, processes and techniques; project spec development; application design; writing and modifying technical and user documentation; prepare flow process diagrams and other design graphics; installation, testing and migration process and techniques; quality and version control processes; use of packaged or off-the-shelf and 3rd party application software including office automation tools would be desirable.
Considerable working knowledge of methodologies and techniques for systems analysis and design, business process modeling, requirements gathering, quality assurance, and software development.
Have a customer focused manner, with respect for procedures, policies, and legal requirements.
Experience in project management and change management.
Must be able to successfully interact with users at all levels of the organization.
Must have good verbal and written communication skills.
Must have the ability to read complex materials such as reports, instructions and manuals.
Must be able to maintain good work attendance.
PHYSICAL REQUIREMENTS:
Physical ability required to be mobile, bend, stoop, twist, sit, stand, reach and occasionally lift objects weighing up to 30 pounds.
WORK ENVIRONMENT:
Work involves deadlines and multiple priorities.
Work within normal office environment.
May be required to work any time of the day, evening or night during the week or weekend to include being on-call as scheduled.
