Job Description: POSITION SUMMARY TransMedics is seeking a Senior Benefits & Wellness Manager to play a pivotal role in connecting our Total Rewards philosophy with the growth of our business. This role will be influential in the design and implementation of our employee benefits strategies, taking the lead in planning, implementing, and administering benefits programs while ensuring compliance.
Under the leadership of the Senior Director of Total Rewards & HR Operations, this role offers the opportunity to act as a trusted advisor to employees throughout all levels of the organization, and other internal business partners and stakeholders. In addition, this role will own and manage our strategic benefits partnerships with external service providers. As a facet of our growing Human Resources team, collaboration, innovation, and desire to make a lasting impact of our current and future growth are necessary to be successful in aligning our benefits strategies with our organizational objectives and deliver a consistent employee experience throughout our employee life cycle.
JOB RESPONSIBILITIES This position is responsible for, but not limited to, the following:
- First point of contact for employees regarding complex benefit issues and escalations.
- Plan, manage, administer, and ensure compliance across all our US benefits programs, encompassing medical, dental, vision plans, LTD, STD, 401(k), Accommodations, wellness initiatives, and more.
- Ensure daily administration of benefit changes, ensuring they are processed accurately and communicated to third-party administrators in a timely manner.
- Form I-9 Administration, ensuring compliance and oversight of our E-Verify program.
- Develop and implement a process to leverage Workday as our platform for benefits communications, announcements, etc.
- Host New Hire Orientation regularly in partnership with the broader Human Resources team.
- Oversees communication strategies and tools to ensure employees are well-informed about their benefits.
- Key liaison with benefit consultants and plan providers to streamline the administration of benefit plans, and benefits renewal processes.
- Conducts weekly audits of error reports and termination reports generated by our third-party administrators to ensure data integrity and cost containment.
- Conduct research, analysis, and propose new benefit programs to enhance competitiveness and effectively manage costs associated with benefit plans for the company.
- Oversees the annual administration of benefits open enrollment.
- Oversees annual plan audits, 5500 filings, federal and state compliance filings, and employee compliance communications for all related benefits plans.
- Manages wellness programs and analyzes effectiveness of programs and research/recommend new initiatives.
- Ensures compliance with governmental regulations related to benefit and labor law, including ERISA, FMLA, and HIPAA. This includes required testing and audits and SOX compliance.
- Ensure compliance with relevant legislation and regulations such as FLSA, ERISA, and ACA.
- Processes all leave administration including but not limited to Workers Compensation, FMLA, Short term and long-term disability and other related leave programs.
- Other responsibilities as assigned.
MANAGEMENT RESPONSIBILITIES - This position will not have management responsibilities.
PHYSICAL ATTRIBUTES - General office environment with flexibility to work remotely up to 2 days per week.
- The position is based on-site in Andover, Massachusetts.
MINIMUM QUALIFICATIONS - Bachelor's degree in business administration or a related field.
- Five (5) years of relevant experience in Benefits Administration.
- Strong employee-centric mindset required.
PREFERRED QUALIFICATIONS - Excellent communication and presentation skills.
- Experience using Workday for Benefits Administration, including reporting, data entry, researching, and auditing.
- Proficiency in Microsoft 365 (Outlook, Excel, SharePoint, Word, PowerPoint, Forms, PowerAutomate, PowerBI).
- Demonstrated experience with analytical, problem-solving, and decision-making skills.
- Demonstrated success with Project Management.
- Proven competency of Federal and State laws, regulation and compliance issues regarding compensation and benefits.
- Registered Employee Benefits Specialist or related designation preferred.
- PHR or SHRM-CP preferred.
