Our Client, a Global Investment Bank, is seeking a Senior Administrative Support Specialist for their office in New York, NY.

Position Overview:

As a Senior Administrative Support Specialist, you will play a crucial role in ensuring efficient daily operations by providing top-tier administrative support to the Head of Front Office, Head of Corporate Services Technology, and other senior IT executives. We are looking for an organized, proactive, and tech-savvy individual who excels in a dynamic and fast-paced corporate environment.

Key Responsibilities:
  • Deliver exceptional daily administrative support to senior IT executives.
  • Coordinate recurring and ad hoc meetings, managing logistics and preparation of materials.
  • Screen calls, manage calendars, and effectively coordinate schedules.
  • Arrange domestic and international travel with precision.
  • Prepare and accurately submit expense reports.
  • Welcome and facilitate access for visitors on-site.
  • Collaborate seamlessly with fellow administrative professionals across the IT organization.
  • Organize and manage documents and logistics for executive meetings.
  • Oversee the printing, binding, and preparation of presentations.
  • Maintain and update shared contacts and organizational charts.
  • Coordinate bookings for conference rooms and manage access permissions.
  • Order office supplies and ensure overall office needs are met.
  • Assist visiting IT staff from different regions with accommodations, meetings, and reservations.
  • Handle occasional tasks related to printing, faxing, copying, and mail services.
  • Provide back-up support for other Executive Assistants as needed.
  • Utilize iOffice for seating arrangements and site access requests.
  • Assist with SharePoint permissions and basic updates to the intranet.
Qualifications:
  • Experience: 3-5 years as an administrative assistant, ideally in financial services.
  • Technical Skills: Proficient in Microsoft Word, Excel, PowerPoint, with intermediate knowledge of Microsoft Copilot.
  • Industry Knowledge: Prior experience supporting IT leadership is highly desired.
  • Eligibility: Must be authorized to work in the United States.
