Our Client, a Global Investment Bank, is seeking a Senior Administrative Support Specialist for their office in New York, NY. Position Overview: As a Senior Administrative Support Specialist, you will play a crucial role in ensuring efficient daily operations by providing top-tier administrative support to the Head of Front Office, Head of Corporate Services Technology, and other senior IT executives. We are looking for an organized, proactive, and tech-savvy individual who excels in a dynamic and fast-paced corporate environment.
Key Responsibilities: - Deliver exceptional daily administrative support to senior IT executives.
- Coordinate recurring and ad hoc meetings, managing logistics and preparation of materials.
- Screen calls, manage calendars, and effectively coordinate schedules.
- Arrange domestic and international travel with precision.
- Prepare and accurately submit expense reports.
- Welcome and facilitate access for visitors on-site.
- Collaborate seamlessly with fellow administrative professionals across the IT organization.
- Organize and manage documents and logistics for executive meetings.
- Oversee the printing, binding, and preparation of presentations.
- Maintain and update shared contacts and organizational charts.
- Coordinate bookings for conference rooms and manage access permissions.
- Order office supplies and ensure overall office needs are met.
- Assist visiting IT staff from different regions with accommodations, meetings, and reservations.
- Handle occasional tasks related to printing, faxing, copying, and mail services.
- Provide back-up support for other Executive Assistants as needed.
- Utilize iOffice for seating arrangements and site access requests.
- Assist with SharePoint permissions and basic updates to the intranet.
Qualifications: - Experience: 3-5 years as an administrative assistant, ideally in financial services.
- Technical Skills: Proficient in Microsoft Word, Excel, PowerPoint, with intermediate knowledge of Microsoft Copilot.
- Industry Knowledge: Prior experience supporting IT leadership is highly desired.
- Eligibility: Must be authorized to work in the United States.
