Position Overview
We're seeking a Senior Administrative Specialist to join our team and play a key role in supporting daily operations, streamlining administrative processes, and ensuring internal coordination runs smoothly across departments. This role is ideal for a proactive, detail-oriented individual who thrives in a fast-paced environment and is looking for long-term career growth.
Responsibilities
- Serve as the first point of contact for inbound calls, providing courteous and professional service.
- Act as a liaison between all departments to support efficient communication, task coordination, and completion.
- Provide high-level administrative support using Trello and other Microsoft applications.
- Maintain organized filing systems and support the preparation of reports, presentations, and official correspondence.
- Aid in onboarding new employees and ensuring the proper maintenance of internal documentation and records.
- Maintain confidentiality and discretion while handling sensitive information and materials.
- Utilize internal systems to connect with prospective client inquiries, implement sales strategies, present transportation solutions, and actively contribute to business growth using booking and fleet management tools.
- Scheduling and dispatch operations by managing transportation bookings via the company's software platform, coordinating chauffeur assignments, and ensuring efficient, timely trip execution.
- Process payments, generate invoices, and handle all financial documentation accurately and securely.
- Remain accessible, along with direct management, to high-profile accounts-particularly during large-scale events or promotional campaigns managed by Luxxor.
Qualifications
- 5+ years of administrative experience working in a fast-paced business setting.
- Strong organizational and multitasking skills with a proven ability to meet deadlines.
- Excellent written and verbal communication skills.
- Proficient with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other productivity tools.
- Demonstrated ability to adapt to and utilize a variety of technology platforms and software applications, supporting the company's tech-forward operations.
- Self-motivated, detail-oriented, and adaptable to changing priorities.
- Experience supporting executives or cross-functional teams is a plus.
Compensation & Benefits
- Salary Range: $60,000 - $75,000 annually (commensurate with experience/value)
- Paid Time Off: 2 weeks starting PTO
.If you provide substantial value to the company, additional PTO may be negotiable
