We are seeking a Sr. Administrative Coordinator to join our Infrastructure Solutions Business Unit (ISBU). This is a Hybrid position which can be based out of any one of our following locations: Houston, TX, Tampa, FL, Atlanta, GA, or Dallas, TX. This position will support our Aviation & Ports and various other ISBU business line operations teams. The position will provide administrative support and coordination to senior leader(s) and direct reports and act as an extension of manager's authority in administrative matters.

How will you contribute to the team?
  • Provides administrative support and activity coordination to senior leader and business line team, acting as their contact/liaison and assisting with various functions.
  • Acts as liaison between business line lead(s) and top management, and internal/external clients, responding to inquiries and requests for information/approval and directing others to appropriate staff as required.
  • Provides administrative support to business lead(s) by composing memos, letters and other documents for leaders' signatures. Maintains calendars, scheduling and coordinating appointments, periodic meetings, conferences and travel arrangements. Prepares expense reports, screens mail and telephone calls directed to senior leaders and directs them as appropriate.
  • May prepare annual budget/reports for business line lead(s). Compiles annual overviews of program/budgets with comparative overviews of performance for use by business line lead(s) as assigned.
  • May perform special assignments which may include research, data/financial analysis, coordination of conference events, assistance with publications or marketing materials, and maintaining databases.
  • Develop charts and graphs based on sensitive organizational data, and updates them as needed for meetings, monthly reports, or presentations for upper management or others.
  • Coordinate and attend meetings and prepare meeting minutes.
  • Coordinates staff activities within organization unit to ensure consistency with policies and procedures.
  • Performs such other duties as the supervisor may from time to time deem necessary.
What will you contribute?
  • Bachelor's degree in Business Administration or related field plus a minimum of ten years' experience in administrative work. Prior experience in the Consulting Engineering industry supporting senior leaders strongly desired. Without a degree, a minimum of fifteen years' experience in progressively responsible administrative work is required.
  • Job requires excellent interpersonal and organizational skills, tact, sense of urgency, confidentiality and attention to detail. Knowledge of business administration practices and principles.
  • Proficiency with the MS Office suite software. Experience with Microsoft Power BI a plus.
