Shift: Monday - Friday, 8:00 AM - 5:00 PM CT
Summary: In this role, you will support the Vice President of Marketing, Marketing Directors, and the marketing team. While providing administrative support for specific leaders, you will also play an integral role in supporting the team and the business with data gathering, compilation of content for presentations, meetings, and additional projects in support of the business running smoothly, efficiently, and productively. Success in this role will require an understanding of business priorities, a desire to take initiative and a knack for creating efficient processes with attention to detail. In addition, you'll be able to add value through your flexibility, and you'll effectively communicate to the right people at the right times. You will have a passion for building meaningful relationships and collaborating in ways that inspire a One Team mentality for those around you.
What You Will Do: - Provide administrative support for assigned leaders, managing complex calendars, coordinating complex, multi-city, and international travel arrangements, and track and submit expense reports. Planning of travel arrangements, visas, meeting schedules, and appointments for all assigned personnel.
- Effectively communicate independently, and as an extension of leadership, across business partners and stakeholders; Collaborate effectively in partnership with other Administrative Assistants and event planners.
- Effectively coordinate and execute meetings and content, both internal and customer facing.
- Create continuous process improvement that will drive efficiency amongst the leadership team and others.
- Schedule meetings, secure facilities/equipment and prepare meeting materials both on and offsite.
- Process invoices and department expenses for approval; track and reconcile budget; process expense reports.
- Generate, route, and file required documents according to prescribed schedules and processes; format, generate, and route reports according to proscribed schedules.
- Advise, plan and participate in building team culture and team experiences
What You Need: Required : - High School Diploma or Equivalent
- 3+ year's experience supporting Senior Leadership in a similar capacity
- Experience with Microsoft Office programs
Preferred : - Associate or bachelor's Degree
