Job Summary:
The senior administrative accountant is a member of the accounting team and is responsible for the accurate processing, recording and associated reporting of the company's payroll, daily reconciliation of the pooled undirected cash, and completing other assigned accounting tasks necessary to successfully carry out the responsibilities of the accounting department.
Duties and Responsibilities
Process payroll for the various Entrust enterprises and the associated employees including but not limited to the following tasks:
a. Maintain the online payroll system.
b. Enroll new employees in the payroll system.
c. Process employee change requests (Address changes, salary changes, termination, etc.).
d. Review Time and Attendance entries for completeness and accuracy
e. Calculate payable employee hours and process periodic payroll.
f. Reconcile payroll and submit
g. Distribute payroll.
h. Enter the allocation of departmental payroll expenses to the general ledger.
i. Assure all payroll taxes for all intrastate and interstate employees are filed as required.
j. Maintain account registration and closure with new states as applicable.
k. Track paid time off (PTO) hours.
l. Maintain PTO policies in the online payroll system.
m. Process and remit garnishment requests in a timely manner as needed.
n. Provide information as needed for periodic payroll audits.
o. Respond to employee inquiries in a timely and respectful manner.
Support the company's Human Resources department by performing the following tasks including but not limited to:
a. Maintain, update, deduct and remit employee portion benefit deductions in a timely manner.
b. Audit employee benefit deductions and enrollments for accuracy.
c. Review and approve benefit provider monthly invoices and submit allocation of department for payment.
d. Respond to employee inquiries in a timely and respectful manner.
e. Process employee change requests (Address changes, salary changes, termination, etc.).
f. Create and provide related reports to management as requested.
Assist in the administering of the company's 401(k) plan by performing the following tasks including but not limited to:
a. Ensure employee's 401(k) deductions are processed accurately with payroll.
b. Process annual compliance reporting including assisting in the 5500 filing.
c. Review the annual employer match for accuracy.
d. Enter the allocation of departmental 401(k) contributions and the employer match to the general ledger.
e. Maintain a record of required notices distributed to employees.
f. Respond to employee inquiries in a timely and respectful manner.
Maintain and constantly adhere with operating dual controls in accordance with established policies and procedures.
Participate with accounting team members in the process of reconciling trust account undirected cash to the total of pooled deposit arrangement assets and underlying assets daily employees including but not limited to the following tasks:
a. Settle and post all pooled deposit arrangement transactions.
b. Process, research and generate necessary reports for the daily trust client funding activity.
c. Gather transactional and balance data needed for reconciling from bank accounts, brokerage accounts, the trust accounting system, and other necessary internal and external sources.
d. Promptly identify, research, and resolve any reconciling items.
e. Document ending reconciling balances.
f. Clear outstanding items within established time frames.
Post and reconcile pooled deposit arrangement revenue and other fees, when earned.
Work with other accounting team members to balance and reconcile the company's accounts receivable to trust, bank and general ledger accounts.
Participate with accounting team members in completing daily online banking activities including the approval of ACHs, wire transfers, and deposits.
Maintain auditable records at all times.
Maintain all financial records in accordance with the company's retention policy and procedure.
Assist with exams and audits by providing requested information and records to auditors and examiners through the company controller.
Submit quarterly client account and market value report to AccuTrust (ATG) for billing purposes.
May perform audit tasks on work areas not under immediate control.
Back-up other accounting team members as needed to complete the daily volume of work.
Create TDFI report monthly and verify information accuracy with TETC.
Maintain LexisNexis user database.
Assist other departments with projects and research items as needed.
Comply with all laws and regulations, including anti-money laundering and privacy policies and procedures.

Knowledge, Skills and Abilities
Must possess proficient working knowledge of Microsoft Word, Excel and Outlook. Relies heavily on Excel as a tool. Efficient use of a ten-key calculator is helpful. A basic understanding of finance and accounting is needed.
Ability to utilize written and verbal communication skills effectively is required.
Credentials and Experience
A. Formal Education: Requires a high school diploma.
B. Experience: A minimum of five years' experience in banking or a related financial services business, including substantial knowledge of payroll systems and human resource management issues.
C. Professional Designations: None.
Special Requirements
Occasional travel for personal training purposes may be required. Some flexibility in work hours in order to meet deadlines.
Supervisory Controls
A. Supervision Received: The supervisor typically assigns work in terms of work objectives and basic priorities and is available for consultation if needed. Work is performed independently following set procedures and dual control principals.
B. Employees Supervised: No employees are immediately supervised.
Complexity of the Work
Work performed is moderately complex but repetitive with some analytical skills required. Accuracy is paramount as errors can lead to reputation damage and significant monetary loss to the business.
Judgment and Initiative
Regularly makes important decisions having a moderate impact to the daily flow of work and profitability of the company. Works in a team environment being willing to cover for other team members when they are busy. Ability to identify and establish priorities and to meet deadlines is a must.

A. Internal: Has recurring personal contact with coworkers and executive officers.
B. External: May have occasional contact with auditors, regulators, attorneys, correspondent bankers and other vendors regarding company matters of some importance.
Work Environment
Requires performing regular job functions in a controlled environment with minimal exposure to disagreeable job elements and little risk of hazard of physical or mental health.
