Aledo ISD is seeking a secretary for the Police & Technology Department
Primary Purpose: Ensure efficient operation of the Technology & Police Department and provide clerical services for the Chief Technology Officer & the Chief of Police.
Qualifications: Education/Certification:
High school diploma or GED
Special Knowledge/Skills:
Effective communication and interpersonal skills
Ability to interpret and disseminate information to individuals
Proficient skills in keyboarding, word processing, and file maintenance
Ability to maintain accurate and auditable records
Ability to use personal computer and software to develop spreadsheets, databases, and do word processing
Ability to meet established deadlines
Experience:
One year secretarial experience, preferably in a public education environment
Major Responsibilities and Duties:1. Prepare correspondence, forms, reports, etc., for Chief of Police and CTO.
2. Compile pertinent data as needed when preparing various local and state reports.
3. Maintain physical and computerized departmental files.
4. Greet guests and answer telephones.
5. Accept shipments.
6. Assist in scheduling.
7. Assist in gathering quotes.
8. Assist in requisitions and Purchase Orders.
9. Prepare and make cash deposits.
10. Sort and deliver mail.
11. Assist in printing staff ID badges.
12. Reset user passwords.
13. Manage security access cards.
14. Assist with blocking/unblocking website requests.
15. Assist in equipment warranty replacement.
16. Assist in managing all contracts we have with vendors.
17. Perform background checks on all parent volunteers and guest speakers, distributing up-to-date list each week to campuses.
18. Assist with open records and similar Freedom of Information Act requests.
Supervisory Responsibilities: None.
Equipment Used: Personal computer, printer, telephone, copier, fax machine, shredder and calculator.
Working Conditions: Tools/Equipment Used: Standard office equipment including personal computer and peripherals.
Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting
Motion: Repetitive hand motions; frequent keyboarding and use of mouse; occasional reaching
Lifting: Occasional light lifting and carrying (less than 15 pounds)
Environment: /May work prolonged or irregular hours
Mental Demands: Work with frequent interruptions; maintain emotional control under stress
