Position: Secretary to Assistant Middle School Principal (Edustaff)
Location: Page Middle School
Schedule: Monday-Friday, 7:00-3:30, 11 Months
Pay Rate: Based on experience
Qualifications: - Shall hold a high school diploma
- Shall be a competent typist with minimum typing speed of 55 wpm
- 1 - 3 years of school-related work experience, preferred
- Proficiency in MiSTAR, Frontline, ParentSquare, Google applications, and Axis Camera System software, preferred
- Ability to perform routine office skills, including filing and operating office equipment (copier, scanner, fax machine, etc.)
- Customer service oriented, with strong written and verbal communication skills
- Must be responsible and trustworthy in maintaining the confidentiality of students and staff record
- Must be tactful and capable of exercising good judgment in contacts with students, parents, staff and others
- Must have the temperament to work well under pressure
- Must be able to adjust to work situations necessitating adjustment to frequent change
- Ability to withstand the strain of the position
- Self-directed with the ability to perform job tasks with minimal supervision
- Ability to establish priorities and meet deadlines accurately and precisely
- Strong interpersonal skills to maintain relationships with staff members
- Ability to recognize problem areas and seek solutions to increase efficiency
- Reliable and punctual with excellent work-related attendance record
- Such alternatives to the above qualifications as the administration may find appropriate and acceptable
Responsibilities: - Record student absences and answer all calls relating to student attendance
- Place calls to homes of students who are absent
- Prepare reports of student absences for assistant principal
- Prepare the Student Count Day Report
- Responsible for all correspondence directly related to assistant principal
- Assist in mail preparation for office correspondence
- Answer telephone, taking messages and/or directing calls to the proper person, providing the question cannot be answered by the secretary
- Must be able to deal pleasantly and effectively with all telephone conversations, including those of an irate nature
- Help train, direct, and supervise the student office assistants
- Work collaboratively with custodial staff to assign and update student lockers
- Assist with checking in guest teachers daily and making sure all classes are covered by proper staff. Assume this duty when the principal's secretary is unable to perform this task
- Assist the athletic department with registering student-athletes in PRIVIT, organizing first aid supplies, and corresponding with coaches
- Schedule all detentions and send communication to families via email, phone calls, and through the use of Parent Square
- Assist the counseling office with registration of new students
- Process incoming and outgoing confidential student files and assist with incoming and outgoing CA60's
- Assist students who are ill or injured, calling parents or medical assistance if necessary
- Help to maintain student medications and dispense medications according to doctors' orders, when the counseling office secretary is unavailable.
- Keep record of all and enter all safety drills into Oakland Schools compliance system
- Operate all office machines and equipment in the office
- Assist in the preparation of material for the opening and closing of the school year
- Attend Open House and Student-Teacher Conference evenings and assist in the distribution of materials for these events
- Assist in all shared secretarial responsibilities
