DATE REVISED:PRIMARY PURPOSE: Provide secretarial support to the Director of Research, Planning and Evaluation and Instructional Material Coordinator.
QUALIFICATIONS: Education/Certification: - High school diploma or GED
- Advanced clerical training courses preferred
Special Knowledge/Skills: - Proficient skills in typing, word processing, and file maintenance
- Proficiency in the use of Window based computer systems
- Proficiency in Microsoft Office applications
- Proficiency in TEAMS applications
- Knowledge of school district organization and operations
- Effective communication and interpersonal skills
- Basic math skills
Experience: - One to three years of secretarial experience preferably in a public
education environment
MAJOR RESPONSIBILITIES AND DUTIES: Office Management - Manage the routine work assignments and activities for the Director of Research, Planning and Evaluation and Instructional Materials Coordinator.
- Greet callers and respond to routine inquiries from staff and public. Refer appropriate inquiries or problems to the Director of Research, Planning and Evaluation and Instructional Materials Coordinator.
- Prepare correspondence, forms, reports, etc., for the Director of Research, Planning and Evaluation and Instructional Materials Coordinator.
- Schedule appointments and maintain calendar the Director of Research, Planning and Evaluation and Instructional Materials Coordinator. Exercise good telephone etiquette, take reliable messages, answer questions, and direct calls to the appropriate staff.
- Review mail for the Director and Supervisors, sort, and distribute mail and send testing boxes to the designated place.
- Prepare materials, notifications, agendas, and rooms for the Director of Research, Planning and Evaluation and Instructional Materials Coordinator meetings.
- Perform varied typing/word processing tasks for the Director of Research, Planning and Evaluation and Instructional Materials Coordinator.
- Knowledgeable of duties performed by financial secretaries.
- Maintain confidentiality of information.
Other - Perform duties in a professional, ethical, and responsible manner as defined in the Texas Education Agency Code of Ethics for Educators.
- Perform other duties as assigned.
EQUIPMENT USED: - Personal computer, typewriter, TEAMS network computerized system, Test Hound, Frontline Instructional Material Inventory, and Cambium platforms, and any other equipment needed for work efficiency.
WORKING CONDITIONS: Mental Demands - Maintain emotional control under stress
- Work with frequent interruptions
Physical Demands - Light lifting and carrying, reaching above shoulder, use of fingers, repetitive hand motions; frequent bending and stooping
- Prolonged use of computer
Environmental Demands - Normal office environment
- May work prolonged or irregular hours
