Position Summary:
The Secretary IV performs secretarial, clerical, and receptionist duties for Hospice & Palliative Care as assigned. Has a responsibility of maintaining and distributing on call schedules, weekly patient list and daily computer entries.
Duties/Responsibilities:
• Performs receptionist duties for department and assigned personnel.
• Performs clerical duties for department and assigned personnel.
• Responsible for ordering of all office and patient care supplies/reconciling PO's with supplies received.
• Coordinates mail distribution to and from SCH.
• Proficiently utilizes the appropriate computer application for required task.
• Performs duties with the appropriate level of self-motivation, independent judgment and willingness to work as a team requiring minimal supervision; manages time well to serve multiple persons.
• Utilizes correct grammar and spelling.
• Meets deadlines consistently.
• Completes Performance Improvement reports, logs and graphs (example monthly on call log).
• Coordinate meetings and conference room schedule.
• Works closely with other departments of the hospital to coordinate services.
• Responsible for filing, maintaining, appropriately purging and storing medical records.
• Performs data entry of patient and staff information into Hospice & Palliative Care computer system.
• Assist in maintenance of office equipment.
• Performs record retrieval for special reviews and/or audits in a timely manner.
• Maintains supply storage area in orderly fashion.
• Assist in Hospice volunteer management as related to office tasks.
• Assists as assigned to staff training and orientation tasks.
• Maintains quality and amount of office forms.
Education:
Minimum of a High School Diploma plus an Associate Degree/Vocational Certificate in secretarial education, office administration or related field or equivalent experience required.
Experience:
Two years secretarial experience required. Without education listed above, a minimum of four years secretarial experience is required.
