Primary Purpose:

Perform administrative duties related to the daily operation of technology department office and

provide clerical services to the Director of Technology and other staff.
Qualifications:

Education/Certification:

High school diploma or GED

Special Knowledge/Skills:

Proficient keyboarding and file maintenance skills

Broad knowledge of computer hardware and software applications

Ability to use software to develop spreadsheets and word documents

Ability to maintain accurate and auditable records

Knowledge of basic accounting principles

Ability to follow verbal and written instructions

Ability to perform a variety of tasks often changing assignment on short notice

Effective organizational, communication, and interpersonal skills

Bilingual preferred

Experience:

2 years secretarial experience
Major Responsibilities and Duties:
Records, Reports, and Correspondence
  1. Prepare department communications, correspondence, forms, manuals and reports. purchase orders, and payment authorizations following district standards and requirements.
  2. Work with vendors to maintain appropriate product support.
  3. Compile, maintain, and file all reports, records, and other documents as required.
Program Management and Support
  1. Lead the technology onboarding process for new hires.
  2. Manage and maintain our Raptor visitor management system on all campuses.
  3. Assist with account management and password resets in Google, Active Directory and Ascender.
  4. Process and assist with technology work orders.
  5. Generate district staff IDs and manage building/door access.
  6. Manage 3CX Phone system extensions and setup.
Reception and Phones
  1. Receive incoming calls, take reliable messages, and route to appropriate staff.
  2. Assist students, district staff, and parents as needed.
  3. Schedule meetings and appointments and maintain calendar(s) for the Technology Department.
Accounting and Inventory
  1. Assist with department budget preparation and maintain accurate records of expenditures.
  2. Enter and process purchase orders and receive all purchased items once delivered.
  3. Assist with maintenance of inventory of fixed assets, equipment, and supplies.
Other
  1. Assist with planning, preparation, and setup of department meetings and activities.
  2. Comply with policies established by federal and state laws and regulations and local board policy.
  3. Respond to after-hours emergencies as needed.
  4. Maintain confidentiality.
  5. Follow district safety protocols and emergency procedures.
  6. Manage Administration printer/copier supplies and assist campuses with supply orders and service requests/tickets for managed copier/printer fleet.
  7. Other duties as assigned
