JOB SUMMARY: The Secretary provides administrative support services at an entry level to functional areas as assigned and is responsible for a variety of clerical and administrative duties to support and optimize workflow procedures for the corporation.
ESSENTIAL FUNCTIONS: Position Specific: - Greet visitors and callers, handle inquiries and direct customers and employees appropriately
- Operate office equipment such as copiers, postal machine, fax machines and multi-line telephone systems
- Schedule and prepare meeting materials and maintain corporate meeting calendars
- Maintain a records system for the office
- Handle and sort inter-office, state, and US postal mail
- Respond to inquiries and complaints and confirm the follow-up implementation of directives
- Reconcile corporate fare instrument sales as assigned
- Maintain corporate vehicle pool program as assigned
Technical Skills - Prepare and ensure the accuracy of sensitive correspondence, narrative reports or other materials
- Resolve schedule conflicts and arrange meetings and conferences using technology
- Create mail merges, manipulate word processing documents, presentations and spreadsheets that involve formulas, charts and graphs
- Prepare and review documents for senior management signature
Collaboration: - Engage productively and positively with internal and external stakeholders
- Participate in meetings and serve on committees as assigned
Compliance: - Ensure the department s compliance with all applicable local, state and federal guidelines and laws
Performs other duties as requested by Senior Management QUALIFICATIONS: The Secretary requires knowledge in the administrative duties performed in an office environment and experience responding to inquiries from internal and external stakeholders in a customer service environment. The ability to adapt the application of current and evolving information technology to the workload is also required.

COMPUTER SKILLS: Demonstrated proficiency in Microsoft Office software products specifically Excel, Outlook, PowerPoint and Word and the use of standard office equipment.
CUSTOMER SERVICE SKILLS: Strong interpersonal skills to foster teamwork and create positive connections with customers. Ability to meet goals to increase efficiency improving customer service.
MINIMUM EDUCATION AND EXPERIENCE: High School Diploma or equivalent. One (1) to three (3) years of experience in the secretarial or customer service field.

LANGUAGE SKILLS: Excellent verbal and written communication skills. Ability to read, analyze and interpret common business journals, financial reports and light legal documents. Ability to respond to inquiries as requested. Bilingual a plus.
MATHEMATICAL SKILLS: Ability to work with significant mathematical concepts. Ability to apply concepts such as fractions, percentages, ratios and proportions to practical situations.
REASONING ABILITY: Ability to define problems, collect data, establish facts and draw valid conclusions. Ability to maintain a level and appropriate business demeanor.
