04/22/2025 At the present time, a vacancy for a full-time Secretary exists for the Food Services department within the Administrative Services division of the Chester County Intermediate Unit. This position is based at the Operations building located in Coatesville, PA.

Position Summary:

The Food Service Secretary position serves as an assistant to the food service managers in a wide variety of roles. This position works under the direction and supervision of the food services manager. This position will perform all responsibilities required in an effective, timely and confidential manner. Must be able to work independently with little supervision. Must be dependable and possess excellent interpersonal and customer service skills. Must be organized and anticipate department needs when appropriate. Must have excellent computer skills and be familiar with all office equipment. Must be flexible and able to multi-task during the daily operation of the building and must maintain a high degree of accuracy in all aspects of job performance.

Qualifications:
  • High school diploma or GED.
  • Five years or more of clerical related duties.
  • Knowledge of Mac/Windows computers.
  • Knowledge of Word, Excel, PowerPoint, FileMaker Pro, O365.
  • Attention to detail.
  • Knowledge in providing professional customer service.
  • Type 45+ words per minute.
Job Responsibilities:
  1. Perform general duties including, answering the telephone, duplication, typing, ordering, office supplies, and handling mail and general correspondence.
  2. Process correspondence for the food service manager, assistant food service manager, and the cafeteria manager when necessary, including reports, letters, memos, and agendas. Maintains and/or compiles, information, files, records (electronic or other), reports or other sources of information as requested/appropriate.
  3. Process and track all purchase orders for the food service department.
  4. Collect, track, and process all vendor invoices for food purchases for all CCIU operated food service programs.
  5. Establish and maintain files for orders, receiving documents, inventory control, and sanitation reports.
  6. Process, manage, and complete the small equipment and disposable ware bids, twice a year, for the food service department.
  7. Has knowledge of and understands the Child and Adult Care Food Program (CACFP) and related reporting guidelines, collects enrollment/applications/information, and processes and reports required data for the CACFP
  8. Receive, sort, review and maintain free and reduced applications for the National School Lunch/National School Breakfast Programs (NSLP/NSBP) and CACFP programs as/if required. Enter information in Primero Edge Point of Service reporting system for status, verification of applications, list of students, and other reports necessary to the food service operation.
  9. Prepare the report for monthly reimbursement claims for CACFP and processes related billing as required.
  10. Maintains training history for food services staff in Primero Edge.
  11. Updates and maintains menu templates and production records for all NSLP schools, and CACFP Head Start/childcare sites, for both school year and summer food service programs.
  12. Works with the food services manager and the Communications department to ensure menus for each location are updated on the CCIU website.
  13. Updates time temperature tracking and delivery slips for all locations per menus and templates provided.
  14. Updates service temperature logs for all locations.

Salary:
$40,654 - $50,817 annually
