ROLE AND PURPOSE:
- Serve as secretary to Director of World Languages
QUALIFICATIONS:
Education/Certification:
- High school diploma or equivalent from an accredited institution (required)
Experience:
- Previous office experience, including computer skills with Word, Excel and TEAMS
- Proficient in general office skills and public relations
- Ability to prioritize, multi-task and maintain organization
- Demonstrates proficiency in oral and written English and Spanish- preferred
MAJOR RESPONSIBILITIES AND DUTIES:
SCHOOL/ORGANIZATION CLIMATE - Strong communication and interpersonal skills
- Promotes a positive office climate
ADMINISTRATION AND FISCAL/FACILITIES MANAGEMENT - Assist Director in compiling and preparing all local, state and federal applications, amendments, evaluation reports, correspondence and memorandums pertaining to those reports
- Prepare B/E Department school allocations, coordinate preparations with Director, principals and secretaries.
- Maintain calendar of appointments for Director
- Maintain work schedules for paraprofessional personnel in the office
- Prepare curriculum documents, correspondence, memorandums, and various required forms pertaining to Bilingual/ESL and LOTE. Send necessary forms to print shop and facilitate distribution
- Advise Director and school office personnel on purchases and management of all funds dispensed and supervised through the World Language Department.
- Update AISD catalogs and program core sheets annually
- Order, track orders and receive on all materials purchased with World Language funds
- Assist with ordering of summer school books and supplies.
- Inventory and distribute materials to teachers.
- Process all payment authorizations for bilingual/ESL summer school personnel
- Track funds and make payments for AISD personnel obtaining ESL endorsements and/or attending professional learning leading to certification.
- Schedule staff development sessions, prepare materials for presenters, and assist in presentations as needed.
- Coordinate all phases of staff development and conferences attended by World Language staff
SCHOOL/COMMUNITY RELATIONS - Works effectively with District and Department staff to establish positive communication for World Language programming
- Assists World Language Specialists and staff to better assist parents, principals, counselors and teachers with student concerns, testing and placements
- Provide accurate information to parents of potential Bilingual/ESL students concerning qualifications, locations, and enrollment procedures for the Bilingual/ESL program
- Assists Director to provide campus staffing projections and monitor enrollment trends
PROFESSIONAL GROWTH AND DEVELOPMENT - Attend professional learning to continually improve qualifications, knowledge and skills
MISCELLANEOUS - Perform all other duties as assigned by the Director - World Languages.
