JOB DESCRIPTION

JOB GOAL:

To perform advanced stenographic and clerical work and assist the assigned administrator in maintaining the efficient and effective operation of the office.

QUALIFICATIONS:
  1. High School diploma or approved equivalency diploma.
  2. Minimum of three (3) years of secretarial/clerical and typing experience.
  3. A comparable amount of training and experience may be substituted for the minimum qualifications.
KNOWLEDGE, SKILLS AND ABILITIES:

Knowledge of business English, spelling and punctuation. Knowledge of office practices and procedures. Ability to prepare routine documents and compose letters and memoranda. Ability to make decisions in accordance with the rules, regulations and policies. Ability to establish and maintain harmonious working relationships with employees and the public. Skill in taking and transcribing dictation, if required of the position, at a prescribed rate of speed. Skill in typing at a prescribed rate of speed. Basic knowledge of bookkeeping. Ability to use the computer and business office software.

SUPERVISES:

PERFORMANCE RESPONSIBILITIES:
  1. Assist with departmental projects or programs
  2. Take and transcribe dictation, when required.
  3. Prepare forms independently and compose letters for supervisor's signature.
  4. Follow up to ensure timely results.
  5. Set up files and file letters and related materials in an accepted manner.
  6. Assemble information for administrator's use.
  7. Keep administrator's appointment calendar and schedule appointments.
  8. Receive and screen callers; provide information on the operation of the office to persons seeking information, and refer callers to other employees, officials, or departments when warranted.
  9. Research and assemble documents, reports and data for administrator and assist in drafting, proofreading and processing reports, letters and documents.
  10. Perform computer data entry, word processing and other computer operations as required.
  11. Ensure adherence to good safety standards.
  12. Maintain confidentiality regarding school/workplace matters.
  13. Meet and deal effectively with the general public, staff members, administrators and other contact persons using tact and good judgment.
  14. Exhibit interpersonal skills to work as an effective team member.
  15. Model and maintain high ethical standards.
  16. Represent the District in a positive and professional manner.
  17. Demonstrate initiative in the performance of assigned responsibilities.
  18. Respond to inquiries and concerns in a timely manner.
  19. Keep supervisor informed of potential problems or unusual events.
  20. Demonstrate support for the school district and its goals and objectives.
  21. Prepare all required reports and maintain all appropriate records.
  1. Participate successfully in the training programs offered to increase skill and proficiency related to assignment.
  2. Perform other tasks consistent with the goals and objectives of this position.


PHYSICAL REQUIREMENTS:

Light Work: Exerting up to 20 pounds of force occasionally and/or up to 10 pounds of force as frequently as needed to move objects.

TERMS OF EMPLOYMENT:

Salary and benefits shall be paid consistent with the District's approved compensation plan. Length of the work year and hours of employment shall be those established by the District.

EVALUATION:

Performance of this job will be evaluated in accordance with provisions of the Board's policy on evaluation of personnel.
