Working at the Installation Transportation Division, the Secretary II is responsible for handling differing situations, problems, and deviations in the work of the office according to supervisor's general instructions, priorities, duties, policies, and program goals, as well as providing principal secretarial support in the office. This position will maintain a close and highly responsive relationship to the day-to-day activities of their supervisor and staff.

Responsibilities

MAJOR RESPONSIBILITIES:
  • Screens telephone calls, visitors, and incoming correspondence, personally responds to requests for information concerning office procedures; determines which requests should be handled by the supervisor, appropriate staff member, or other offices.
  • Maintains the Outlook calendar of the Transportation Manager and the Transportation Operation Coordinator.
  • Creates spreadsheets and briefing slides, compose correspondence, manage minor databases and create presentations and reports and will possess strong knowledge of Microsoft Office software.
  • Schedules tentative appointments without prior clearance, make arrangements for conferences and assembles established background materials as directed. May attend meetings and record and report on the proceedings.
  • Reviews outgoing materials and correspondence for internal consistency and conformance with supervisor's procedures: assures that proper clearances have been obtained, when needed.
  • Collects information from files or staff for routine inquiries on office program(s) or periodic reports, and refer non-routine requests to supervisor or staff.
  • Explains to subordinate staff, supervisor's requirements concerning office procedures, coordinates personnel and administrative forms for the office and forwards for processing.
  • Prepares training packets, processes TDY packets, maintains division employee roster and tracks policies.
  • Maintains copies of training certificates for all personnel assigned to the Installation Transportation Division.
  • Maintains and tracks various reports such as Personal Time Off (PTO), Leave Without Pay (LWOP), Vacancy Reports, Common Access Card (CAC Tracker, AIE Badge Tracker, and TASS Forms), New Hire/Termination Tracker, Facilities Repair Tracker, Contract Man Equivalent (CME) and Personnel Status Reports (PERSTAT).
  • Request and receive office supplies for the section.
  • Reviews and tracks all NSN Requests for Installation Transportation Division for submission to appropriate COR.
  • Reviews and tracks all Local Purchase Requisitions for Installation Transportation Division for submission to Local Purchase section.
  • Serves as Safety Committee Secretary for the Division; consolidates safety slides for distribution prior to meeting and records safety minutes.
  • Performs other duties as assigned to meet organizational/operational objectives.
  • Job duties and responsibilities may change due to contractual requirements.
MATERIAL & EQUIPMENT DIRECTLY USED:
  • Standard office equipment, associated computer applications.
WORKING ENVIRONMENT:
  • Use of Personal Protective Equipment (PPE) in certain areas.
  • Work will typically be in a temperature-controlled office environment, with frequent exposure to electronic office equipment.
PHYSICAL ACTIVITIES:
  • Must be able to lift a maximum of 40 pounds.
  • Must be able to operate in a warehouse type environment.
  • Must be able to walk on uneven ground and within work various sites 6-8 hours a day in performance of duties.
Qualifications

MINIMUM QUALIFICATIONS:

EDUCATION/CERTIFICATIONS:
  • High School Diploma or equivalent. A four-year degree from an accredited University is preferred.
SECURITY CLEARANCE:
  • Must be able to pass the standard background check.
  • NAC-I clearance required.
EXPERIENCE:
  • Possess high ethical standards and demonstrate professionalism.
  • Valid Driver's License.
  • Management processes and related regulation is required to ensure effective accountability of all assigned property.
  • Ability to prioritize and multi-task in a fast-paced environment and interact at all levels.
  • Ability to work independently with minimal supervision; ability to work in a team-based, highly collaborative environment.
  • Strong written and verbal communications skills; ability to interact at all levels.
  • Other duties as assigned to meet organizational/operational objectives.
SKILLS :
  • Proficient in using a computer and Microsoft Office Suite (Excel, PowerPoint, Word)
