Job Summary
TYPICAL DUTIES AND RESPONSIBILITIES
The Secretary I obtains information and arranges appointments. She/he types
correspondence, memos, stencils, and assists in composing and distributing bulletins to
parents, students, and teachers. She/he assists in maintaining proper atmosphere and rapport
conducive to a good school environment. She/he furnishes first aid services. The Secretary I
acts as the Secretary II when she/he is absent from her/his work station. She/he acts as a
receptionist. She/he takes messages, registers complaints, answers questions, and gives out
information correctly and discreetly. The Secretary I compiles and maintains basic records
and files on student attendance and grades, the school budget (supplies, requisitions, work
orders, encumbrances and expenditures), personnel time records. She/he is responsible to
obtain substitute aides and teachers.
ORGANIZATIONAL RESPONSIBILITIES:
The school Secretary I works under the supervision of the School Secretary II and is directly
responsible to the site principal or designee. In some assignments, aides, full-time and parttime clerical, and parent volunteers have their work coordinated by the Secretary I and II.
The School Secretary I is a confidential employee, she/he cannot discuss confidential school
business with any one other than her/his supervisor.
These positions have a unique role at each school because they are usually the first point of
contact and sometimes the only school contact available (in the principal's absence or
unavailability). Their attitude and performance, therefore, represent and affect the school.
LICENSE:
A valid first aide certificate, issued by the American Red Cross, will be obtained after
appointment.
