Posting Number: -NC Position Type: Classified Pools Position Title: Secretary 2, Part-time Applicant Pool Employment Requirement Not Applicable Division/Department: Academic Foundations Location Albany Campus, Albany, OR Job Summary: Performs clerical and office support duties for the Advising Center and Dean. Coordinates website content and provides support on various software, web-based applications, and social media. Required Qualifications: Applications are reviewed for minimum qualifications. Education and Experience: Position requires a high school diploma or equivalent, plus the equivalent to one-year full-time secretarial, office or clerical experience. Knowledge and Skills: Requires desire and commitment to work with students, including students in distress. Requires knowledge of and skills with routine secretarial and clerical functions, procedures and equipment, including personal computers and applicable database and word processing applications. Requires sufficient time management and planning skills to accomplish data entry within required timeframes. Must have good communication skills. Abilities: Requires the ability to carry out all of the duties of the position efficiently and effectively with moderate supervision. Requires the ability to operate general office equipment including personal computers, word processing and database applications used at the college. Must be able to prioritize and organize tasks in order to meet schedules and timelines. Requires the ability to communicate department information to students, faculty and outside agencies/customers, frequently under stressful and/or confrontational circumstances. Requires demonstrated ability to perform accurate keyboarding skills to enter data into computer data base using a standardized format. Must be able to work respectfully with individuals of all cultures, backgrounds, perspectives, and abilities. Preferred Qualifications: Physical Requirements and Working Conditions: Physical Skills and Abilities: Learned physical skill is required to perform keyboarding functions. Occasional lifting, guiding, or carrying of lightweight materials or equipment may be required. Must be able to use a computer and communicate effectively in person and over the phone. Working Conditions: Work is normally performed in a very busy office, interacting with students and customers with a variety of special needs, including mental health and other disabilities, some of whom are highly agitated or in extreme, difficult circumstances. Little or no exposure to health and safety hazards. Considerable time is spent working on a computer. Essential Duties: Serves as Advising Center receptionist on phones and at reception desk. Disseminates general college information to students and the general public. Informs students of college academic deadlines, policies, and practices. Makes appointments for counselors and advisors. Follows reception protocols for prioritizing order for students to seen by a counselor or advisor. Supports incoming students through the First Resort Student Support Center and Advising Center. Demonstrates and assists students with student academic planning tools ( LBCC E-mail, scheduling tools, student retention software, etc). Provides routine office support to staff and Dean, including filing, posting to staff calendars, making copies, typing, preparing materials, and stocking office with materials, forms and publications. May review information for accuracy or completeness. Performs data entry. Notifies staff and/or students of information via email, memoranda, forms and routine documents. May take meeting minutes. Organizes and updates files and records. Has frequent contact with highly confidential information. Assists with events and event planning including Youth Job Fair, Career Fair, and High School Transitions workshops. Makes appropriate referrals to faculty advisors and other student success services, tools, and resources. Completes special projects for Dean, Advisors, or Counselors as assigned. Performs other related duties as assigned.
