Secretariat Support Specialist, Federal Defense What We Are Looking For: We are seeking highly professional and polished administrative professionals to provide Secretariat Support to senior U.S. Air Force and Space Force leaders at the Pentagon. This role demands discretion, exceptional organizational skills, and a strong understanding of executive-level support functions within federal agencies or the Department of Defense. Requirements: U.S. Citizenship (Required) Active SECRET Clearance (Required) 1+ years (junior level), 2+ years (mid-level), or 4+ years (senior level) of experience supporting executive-level leadership within DoD or federal agencies (Required) Must reside in the greater Washington D.C. area (Virginia, the District, or Maryland) Must be able to work onsite at the Pentagon or other locations in the National Capital Region as required Skills: Provide high-level administrative support to General Officers, Senior Executive Service (SES) leaders, and other top officials Manage and maintain calendars for senior leadership, coordinate schedules, and prioritize appointments Organize and support on-site and off-site events, meetings, and conferences, ensuring all logistics and materials are in place Receive and route calls and visitors with professionalism and discretion Prepare and review official correspondence, memoranda, briefings, reports, and executive-level presentations Maintain compliance with formatting, procedural, and regulatory guidelines for all documentation Monitor suspense dates, maintain task tracking systems, and ensure timely completion of actions Use and manage the Enterprise Task Management Software Solution (ETMS2) to track and coordinate all tasks Support travel planning and voucher processing through the Defense Travel System (DTS) Coordinate VTCs and virtual meetings via Teams, Zoom, WebEx, or other platforms Maintain files, records, and workflow systems in accordance with DoD standards Maintain a high degree of professionalism, confidentiality, and responsiveness in a high-tempo environment Preferred: Experience directly supporting SES or Flag/General Officers in a DoD or Pentagon environment Proficiency with government platforms such as DTS, ETMS2, or TMT Familiarity with Air Force culture, military customs and courtesies, and executive protocol Outstanding written and verbal communication skills and the ability to multitask effectively under pressure If you are a polished, mission-focused professional who thrives under pressure and understands the demands of executive support, we encourage you to apply.
