School Services Secretary

DEFINITION: Under supervision, performs and coordinates varied and responsible clerical services, meets and greets visitors and provides routine factual information upon request.

DUTIES: Performs a wide variety of clerical work including typing, proofreading, data entry, filing, recording information, receiving and routing telephone calls, greeting visitors, providing information on routine procedural or directional questions. Prepares student registration, release and transfer documents; maintains student attendance records; assists in the maintenance of student records, including entering test scores and grades; maintains personnel time reports and attendance records; maintains school lunch counts and bus pass reports and records. Takes and transmits messages as appropriate; receives, sorts, and routes incoming mail; and may administer head lice checks, basic and occasional first aid and dispense prescribed medication to individual students in accordance with District policy. Does other related work as assigned.

compile and maintain accurate records and prepare clear and concise reports
type at a corrected speed of 50 words per minute
establish and maintain cooperative working relationships with others
understand and carry out oral and written directions
obtain basic first aid and CPR certificates
use tact, diplomacy, discretion and confidentiality

Experience
two years of responsible clerical experience; service with school age children desirable

Education
equivalent to completion of twelfth grade including or supplemented by courses in typing and office procedures

The Encinitas Union School District is seeking a detail-oriented and customer-service-focused School Services Secretary to support the dynamic school office at Olivenhain Elementary School. This position involves performing a variety of clerical duties, including student registration, attendance tracking, and serving as the first point of contact. The ideal candidate will be organized, approachable, and able to manage multiple tasks while maintaining confidentiality and professionalism. Hours: 40 hours per week; 8 hours per day - Monday through Friday.

The selection process will consist of paper screening, a district administered test, pre-interview reference checks, panel interview, and performance task. Applicants who are selected after a paper screening will be invited to take the District Competency Exam on Tuesday, May 27, 2025. Panel interviews will be scheduled for qualifying applicants on Monday, June 2, 2025 - time TBD.

Salary placement dependent upon experience; up to 6 years of work experience in the same or comparable classification is taken into consideration for salary placement.

Successful candidates will be required to pass fingerprint background check, physical and drug screen and provide negative Tuberculin Skin Test result prior to working in Encinitas Union School District. Fingerprinting and TB test at applicant's expense. Physical/drug screen paid by EUSD. Original Social Security Card and Drivers License required at the time of hire.
