What You'll Do:

Serving as secretary to the principal, assistant principal or designee and school staff, the school secretary represents the "face" of the Saltonstall K-8 School and school leadership team. In this role, she/he welcomes and frequently interacts with all students, parents, staff, and others to the main office, answering all phone calls in a pleasant and timely manner, and responding to questions regarding school matters and scheduling appointments as needed. The main office secretary also assists with key responsibilities such as preparing and tracking budgetary requisitions, tracking student and staff attendance, important mailings and other communications, maintaining confidential files, and supporting other members of the administrative and secretarial team as needed.

Major Duties and Responsibilities:
  • Performs general secretarial and clerical functions (e.g. scheduling, copying, faxing, data entry, filing, etc.) for the purpose of supporting site operations
  • Promotes positive public relations for the school and district, serves as a receptionist, greeting students, parents, staff, and the public in a friendly and helpful way
  • Serves as receptionist; greets students, parents, staff and the public efficiently and courteously; answers or refers telephone and in-person inquiries; takes messages; promotes positive public relations for the district
  • Is responsive to all inquiries whether in person or on the phone
  • Distributes student report cards, school brochures, and other necessary forms as needed
  • Maintains a variety of files and records as assigned, such as student lists, daily bulletins, building usage, orders, enrollment records, bus and emergency information, and a wide variety of other files and records as assigned
  • Types forms, form letters and other documents as required at acceptable levels of speed and accuracy; collates and photocopies materials as necessary; maintains supply of forms and charts as needed
  • Receives, sorts and distributes mail within the office; files correspondence and other materials as required
  • Prepares, processes, and tracks requisitions using MUNIS in coordination with the district's business office and maintains working knowledge of the school's budget lines including postage
  • Provides clerical support to other members of the school leadership team as needed
  • Collaborates with other members of the school secretarial team to ensure successful completion of administrative goals and tasks
  • Other duties as assigned
Qualifications:
  • High School diploma or equivalent
  • Second language proficiency in Spanish or Portuguese, required
  • Have a minimum of two years of successful experience in a related secretarial or office position
  • Proficiency with Google, Gmail, Microsoft Outlook, Word, Excel, PowerPoint, Mac, MUNIS, Aspen Student Information System (or ability to learn), and other software
  • Ability to establish and maintain a positive and professional relationship with co-workers, students, parents, staff and visitors; cultural sensitivity and ability to relate well and effectively in diverse workplace and with a diverse client population
  • Ability to operate and trouble-shoot general office equipment (e.g., copier, fax, calculator, etc.)

Salary: Compensation for Senior Account Clerksin the Salem Public Schools are determined by the American Federation of State, County, and Municipal Employees (AFSCME) collective bargaining agreement.
