Title: School Secretary
Job Requirements The Secretary supports the Principal(s) and staff in the day-to-day operations of the school and/or program. This position is highly visible and will be greeting visitors to the building on a regular basis. Duties include maintenance of confidential student records, direct contact with students, parents/guardians, and support staff at a school site.Frequent public contacts in person, by telephone, or email require the application of established policies and procedures, but questions are referred to higher-level authority when a procedure has not been established. This position will require a wide variety of clerical tasks, which requires the use of various technology.
Job Qualifications - High School Diploma
- Previous office experience preferred
- Strong interpersonal skills and friendly disposition
- Excellent oral and written communications skills
- Word processing and computer skills

Essential Functions & ResponsibilitiesThe requirements listed are representative of the knowledge, skill, ability, physical demands and working conditions required of this position.
- Demonstrate support of the Oak Lawn-Hometown School District 123 Strategic Plan
- Uphold the established Board of Education policies, regulations, and administrative procedures
- Includes record keeping, data-base management, document preparation, customer service, communication, and site support
- Assist administrator and other staff in planning and preparing for meetings, inservices, conferences, and workshops
- Assist in the development of office procedures
- Apply knowledge of modern office methods, equipment, and practices: including letter and report writing, receptionist and telephone etiquette, and filing systems; correct English usage, spelling, grammar, and punctuation
- Manage data warehousing responsibilities, budgeting, transportation planning, as well as State and Federal reporting; including regular meetings and interaction with the District Office staff
- Manage and coordinate daily substitute schedule with District Office staff
- Manage and coordinate building facility usage and calendar with District Office staff
- Input and manage student schedules within the student management system
- Handle incoming and outgoing mail
- Coordinate Lunchroom Supervisors' daily schedule; keep accurate record of students receiving free lunch
- Keep track of fees owed and send out quarterly fee reminders
- Insure appropriate security and safety methods are employed within the office
- Order supplies and equipment
- Organize office workflow to meet deadlines
- Ability to sit/stand for prolonged periods of time
- Utilize time management techniques to organize and prioritize work
- Regular attendance and/or physical presence at the job
