JOB TITLE: School Administrative Secretary

Job Purpose Statement: The job of School Administrative Secretary is done for the purpose of providing clerical support to assigned administrative personnel; communicating information to staff, the public, and other districts; orientating assigned personnel to their job requirements; ensuring compliance with financial, legal and administrative requirements; and providing information and/or direction as may be requested.

Essential Job Functions:

Assists other office personnel as may be required for the purpose of supporting them in the completion of their work activities.
Attends meetings as may be assigned for the purpose of receiving and conveying information and/or taking minutes and distributing to the appropriate parties.
Composes documents (e.g. correspondence, agendas, minutes, newsletters, event programs, handbooks, bulleting, reports, etc.) for the purpose of communicating information to school and district personnel, the public, state officials, etc.
Coordinates various activities (e.g. meetings, workshops, etc.) for the purpose of delivering services in conformance to established guidelines.
Maintains inventory of administrative office supplies for the purpose of ensuring documentation for future reference in accordance with administrative and legal requirements.
Monitors assigned activities and/or program components (e.g. education code, district requirements, component budgets, critical timelines, etc.) for the purpose of coordinating activities and ensuring compliance with established financial, legal and/or administrative requirements.
Oversees other office personnel for the purposes of providing support and ensuring efficient operation.
Prepares written materials (e.g. schedules, purchase orders, payroll records, substitute requests, work orders, agendas, student referrals, mail, etc.) for the purpose of disseminating information to appropriate parties.
Researches various information (e.g. current practices, policies, education codes, etc.) for the purpose of providing information, facilitating communication among departments and/or providing direction as may be required.
Schedules various activities (e.g. meetings, travel arrangements, staff coverage, facilities usage, etc.) for the purpose of assisting in meeting staff needs and efficient utilization of personnel, equipment and facilities.
Supports site principal and/or assigned administrative personnel for the purpose of providing assistance with their administrative functions.

Other Job Functions

Administers first aid and limited health care of students as may be required for the purpose of addressing immediate medical needs of students.
Collects student payments as may be required for the purpose of collecting payments.
Monitors students referred to school office for disciplinary action and/or illness for the purpose of supervision.
Orients new personnel (e.g. permanent staff, substitutes, student workers, etc.) and the public for the purpose of ensuring their understanding of established policies and procedures.
Oversees student aides, volunteers, and assigned substitutes for the purpose of providing support and ensuring efficient operations.
Presents information on administrative procedures, services, regulations, etc. for the purpose of training and orienting other personnel.

Job Requirements - Qualifications:

Knowledge, Skills, and Abilities:

Knowledge to perform basic math including fractions, percents, and ratios; to read technical information, create and/or compose documents and/or participate in panel discussions; and to solve practical problems and deal with a variety of concrete variables.

Skills to perform multiple specialized technical tasks. Specific skills to administer personnel policies and practices; apply pertinent codes, policies, regulations and/or laws; communicate with persons of varied cultural and educational backgrounds; operate standard office equipment; perform basic first aid and health care; perform standard bookkeeping/accounting procedures; perform standard clerical procedures; plan and manage projects; prepare and maintain accurate records; prepare budgets and financial plans; and utilize pertinent software applications. Keyboard/computer literate.

Abilities to deal with a level of complexity of tasks that require significant flexibility with people; processing of data; coordinating of others person's schedules and/or activities; discretion, independent action and/or judgment with regards to using data and/or working with people; and interacting with persons and/or agendas that frequently change. Specific abilities to be attentive to detail; meet deadlines and schedules; and work under time constraints. Type 55 wpm.

Responsibility in relationship to people includes supervising. Monitors and/or oversees the use of funds with little responsibility for care of assets. The resources required (people, equipment, facilities, and/or funding) necessary to perform job functions are of a significant scope and significant opportunity exists impact (positive or negative) on the organization's mission. Work is not normally reviewed in detail.

Working Environment: The job functions are generally performed in an indoor environment requiring the following significant physical abilities: reaching, handling, fingering and/or feeling; sensory speaking, hearing and visual.

Educational Requirements: High school diploma or equivalent.
Experience Requirements: 3 years job related experience with increasing levels of responsibility is a prerequisite.
Licensing, Certification, Testing Requirements: Fingerprint/criminal justice clearance; Tuberculosis clearance. Valid drivers license and evidence of insurability desirable.

  • Proof of HS Graduation (HS Diploma, GED, Bachelors' Degree)

55 wpm typing test is required, unless current qualifying typing test scores (within two years) are already on file with the District.
