The Scheduling Coordinator is responsible for scheduling and coordinating all Invasive/Electrophysiology procedures as well as hospital-based stress testing. This role prepares and communicates information to the patient and their families as appropriate, while collaboratively with physicians, staff and patients in order to ensure that procedures and/or surgeries are scheduled and coordinated appropriately.
Responsibilities:
Responsible for scheduling/coordinating Invasive/Electrophysiology/structured heart procedures as well as the scheduling hospital-based stress testing as well as scheduling hospital-based testing/procedures that PCA physicians perform.
- Provides complete follow through with all patients undergoing invasive procedures, from date of patient's procedure to their post-procedure follow-up with their physician.
- Responsible for gathering pertinent information on all procedures and surgeries scheduled and enters in data base. Is involved in the analysis of this information and generates reports as needed.
- Responsible to obtain a proctor for procedure when necessary. Notify hospital with proctor name/phone number.
- Functions in conjunction with physician on weekly utilization coverage.
- Responsible for following patient transfers to plan hospitals when invasive procedures/surgery is necessary. Facilitates/coordinates transfer as necessary.
- Maintains diagnosis/supporting information for authorization procedure. Issues authorizations number to service partners.
- Fill out appropriate procedure request form to hospital. Follow-up to ensure hospital received fax.
- Obtain medical records from hospital when needed. Obtain labs from laboratory and place in patient's chart.
- Confirm patient appointment for hospital procedure. Mail patient lab slip when needed. Confirm patient has obtained labs prior to procedure when needed.
- Identifies fee for service/non-managed care patients, gets pre-authorization/ensures paperwork is sent to billing.
- Generates monthly pre-authorization reports in accurate and timely manner.
- Integrates and coordinates with service partners such as hospitals and physicians for inpatient referrals.
- Receives all new inpatient referrals and all hospital-based procedure referrals and obtains authorization in a timely manner.
- Utilizes computer data bases (scheduling/PC/database) appropriately to facilitate member and staff inquires.
- Submit orders on appropriate hospital order forms.
- Document all correspondence and schedule all procedure appointments in the NextGen system.
- Review and comply with the Code of Business Conduct and all applicable company policies and procedures, local, state and federal laws and regulations. Maintains patient's dignity by protecting patient's right to privacy, confidentiality, and safety.
- Other duties as assigned.
Qualifications: High School Diploma or GED (required).
- 2 - 4 years' related clinical experience with 1-2 years of invasive inpatient scheduling preferred.
- Knowledge of medical terminology.
- Knowledge of electronic medical records.
- Cardiology experience preferred.
- Bilingual preferred.

Pay Range: $25.00 - $28.00 per hour (DOE)
