Position Summary:

The Scheduling Coordinator's primary function is to assist specific sector services with daily tasks and act as a liaison between field inspectors and contractors. This role will also ensure timely project set up of projects, work circulation and completion of project billing.

Job Responsibilities:
  • Answer phone calls and take clear and concise messages.
  • Responsible for ensuring the sector filing is completed in a timely manner.
  • Effectively managing and organizing the designated time off for chosen sector Inspectors.
  • Assist sectors with billing worksheets.
  • Fielding calls with clients and taking new work requests
  • Preparation and completion of various technical reports as needed for assigned sector services.
  • Circulations of reports to clients and regulatory agencies.
  • Completion of invoicing for selected projects as defined by office location.
  • Receive and or instruct clients on how to make payments via phone or website.
  • Field invoice questions from clients
  • Scheduling of inspectors per sector assignment.
  • Maintain technical certifications for assigned sectors and communicate with marketing when updates are obtained.
  • Communicate with Corporate Accounting on client concerns due to billing issues.
  • Provide support to Office Manager as needed
  • Support Office Manager with Set up and tracking of assigned sector projects in Ajera
  • Support Office Manager with invoices for all work billed upon completion for assigned sectors
  • Assist in circulating invoices noted above
  • Any other tasks assigned to help in the efficient organization of the office.
  • Demonstrates a team-oriented attitude
  • Strong ability to work collaboratively with corporate team
  • Other tasks as assigned
Job Qualifications:
  • High school, courses in business administration and/or accounting
  • Basic clerical and proofreading skills
  • Basic skills in Microsoft Word, Microsoft Excel, and GIS Software
  • Experience with consulting engineering business
