Office Care Manager Scheduler & Administrative Coordinator Here at Caring Senior Service of Oakland County South , we provide compassionate non-medical in-home care to seniors in our community, supporting their independence through personal care assistance, help with household tasks, transportation for errands and appointments, and offering companionship. Our mission is to help seniors remain healthy, happy, and at home -and we are looking for a dedicated and compassionate Office Care Manager: Scheduler & Administrative Coordinator to join us in that mission.

This vital role ensures seamless coordination between caregivers, clients, and the office team-keeping operations running smoothly and care delivery at its highest standard.

Key Responsibilities: Scheduling & Administrative Management
  • Create and manage efficient caregiver schedules to ensure coverage
  • Maintain up-to-date records in scheduling and documentation systems
  • Process and verify caregiver timesheets for accurate payroll
  • Manage time-off requests, availability updates, and scheduling emergencies
  • Track caregiver hours, availability, and overtime limits
  • Support billing processes and ensure accurate administrative documentation
  • Assist in recruitment, interviewing, onboarding, and compliance tracking
  • Prepare reports and manage office files and documentation
Client Care Coordination
  • Conduct initial in-home assessments and develop individualized care plans
  • Matching caregivers based off of our clients needs
  • Oversee care plan implementation and adjust as client needs may change
  • Serve as the office-based contact for client and family communications
  • Support client intake, documentation, and technology setup
  • Work closely with healthcare providers and referral partners as needed
Team Support & Office Leadership
  • Lead caregiver interviews, orientations, and training
  • Foster strong communication between the office and field staff
  • Provide performance feedback and support retention efforts
  • Ensure all caregiver compliance requirements are met
  • Step in as a caregiver during emergencies if needed
  • Support overall quality assurance and team collaboration
Qualifications:
  • Experience in scheduling, office administration, and healthcare coordination- Required
  • Background in recruiting and supporting our caregiving team- Required
  • Excellent organization, multitasking, and attention to detail
  • Strong interpersonal and communication skills
  • Proficiency with scheduling software and business systems
  • Familiarity with healthcare compliance and billing is a plus
  • Valid driver's license and reliable transportation
  • Willingness to assist in caregiving tasks when necessary - CNA or relevant certification is a plus
Compensation & Benefits:
  • Salary: $40,000 -$50,000 annually (based on experience)
  • Monthly performance based bonus program
