Samples Coordinator

POSITION SUMMARY

Sample Coordinator will provide support to Sales team by managing sample timelines while maintaining organization throughout the process.

ESSENTIAL JOB DUTIES

• Responsible for requesting & receiving all buyer and marketing samples for multiple categories

• Daily sample intake including capturing photos, logging in project management system, & adding to internal tracking logs

• Maintain sample log including details such as sizes requested, ETAs and any sample statuses to be communicated with sales team

• Lead weekly sample reviews with sales, creative and production teams to review and document necessary changes or notes

• Coordinate, prepare and ship samples accurately to internal partners and external buying teams

• Process and track samples for ecommerce imagery and marketing requests

• Align with sales team to ensure samples align with current and upcoming programs or presentations

• Maintain organization in sample room and general office space

• Work closely with sales team in preparing samples for market meetings and presentations

• Occasional communication of sample ETAs with licensor partners and buying teams

• Tracking of miscellaneous marketing and licensor sample expenses

• Coordinate regular sample donation schedule and shipping of samples to main HQ office

• Main point of contact for all inbound and outbound deliveries with UPS, Fedex and various shippers

QUALIFICATIONS

• Collaborative spirit & team player attitude - No task is too big or too little.

• Some light lifting of boxes and samples is required

• Inside sales support / customer service / coordination experience

• Must have strong professional communication and time management skills

• Proficient in Adobe and Microsoft Office Suite, primarily Excel (REQUIRED)

• Must exhibit qualities of reliability, punctuality and be able to work with minimal supervision
• Must be a self-starter and work effectively in a fast-paced environment

• Express interest in an array of categories of merchandise and licensed brands

• Demonstrate creative/critical thinking and effective problem-solving ability
• Strong attention to detail & high sense of responsibility in your work
