Role Description
This is a full-time on-site role for a Sample Coordinator (Merchandise) located in Miami, FL. The Sample Coordinator will be responsible for tasks related to managing samples and organizing inventories. The role includes maintaining clear communication channels and ensuring samples are available for production and client presentations. The Coordinator will also be responsible for keeping meticulous records and managing the overall flow of production samples within the organization. You will work closely with the Production team.
Duties
- Support the production process by managing the shipping and receiving of samples. Work closely with the Production Coordinator to ensure all samples are tracked and processed accurately. Responsible for organizing and documenting sample shipments, ensuring proper handling, and keeping records up to date.
- Ensuring all samples are on track for production and provide real time updates to the production team on samples status via Production Status Report.
- Source sample references and send sample reference invoices in a timely manner.
- Assist in updating Production Status Reports with tracking information and quantity of samples ordered.
- Assist in quality control inspections with incoming samples. Report any discrepancies to the development coordinator alongside completing QC report.
- Keeping inventory of our sample room onsite and offsite.
- Keep track of our mainline inventory of our showroom. Including re-orders needed from the warehouse to maintain stock levels.
- Ship out samples via DHL, Fedex, UPS. Update Mondays Sample incoming/outgoing board. Send trackings through slack.
- Pick up deliveries including mail and drop off packages when needed, including warehouse pick ups.
- Follow Sample intake procedure by taking photos and completing QC reports along with storing all sample photos on the drive.
- Fill out sample ship forms and packing lists.
- Steam and organize all incoming samples and showroom samples.
- Create and add sample cards for all samples.
- Prepare samples for client and production meetings.
- Follow opening and closing procedure for the Miami showroom.
- Track and order showroom materials with the financial controller as needed.
Qualifications
- Sample Management and Inventory Management skills
- Very detail oriented
- Ability to lift and carry boxes weighing 20-25 lbs as part of regular job duties.
- Retail or Warehouse Experience
- Strong Communication and Organization Skills
- Attention to detail and ability to work on-site in Miami, FL
- Prior experience in merchandising or a related field is a plus
- Relatively entry level position
- Bachelor or Associates degree in Fashion Merchandising, Business, or related field preferred
