Sales Support Specialist
Position Summary
The Sales Support Specialist plays a vital role in supporting the Inside and Outside Sales Team by managing quotes, assisting with contract bids, and collaborating with project estimators to ensure accurate and timely project proposals. This role combines customer service excellence with behind-the-scenes administrative coordination. Core Responsibilities
Customer Service & Sales Support
- Deliver exceptional service to contractors and customers, providing accurate, timely information and solutions.
- Respond to Sales team calls with professionalism and a service-first attitude.
- Serve as the administrative backbone for outside sales reps, ensuring they are prepared with quotes, schedules, and updated project information.
- Maintain detailed and accurate customer records and communications in CRM and order systems.
- Quoting & Project Coordination
- Collaborate with estimators to develop accurate material and labor cost estimates for traffic safety-related projects.
- Prepare and submit competitive quotes and bid packages for public and private contracts.
- Track and log open bids, assist in follow-ups, and coordinate bid documentation.
- Analyze project plans and specifications to assist in quote development and ensure compliance with industry and regulatory standards.
- Contract & Bid Management
- Monitor bid opportunities via public procurement sites, general contractor portals, and customer requests.
- Assemble and submit prequalification and contract bid documents in coordination with sales teams.
- Ensure timely submission of bids and maintain organized records of proposals and contract activity.
- Follow up on outstanding bids and communicate updates to internal and external stakeholders.
- Marketing & Promotions
- Create flyers, email campaigns, and promotional materials to support sales initiatives and seasonal promotions.
- Update website listings and digital channels to reflect current product offerings and services.
- Maintain CRM database with current contact and project information.
- Administrative Support
- Maintain digital and physical records of quotes, bids, and customer interactions.
- Assist with scheduling, document preparation, and departmental communications.
- Support internal process improvements that reflect the company's values of innovation and efficiency.
Position Requirements
Education & Experience
High School Diploma or GED required; additional technical training or college coursework preferred.
2+ years of experience in sales support, estimating assistance, or customer service within a construction-related environment.
Experience in the heavy highway, civil, or construction field is strongly preferred.
Experience with bid platforms, construction documents, or public contract submission is a plus.
Knowledge, Skills & Abilities
Strong attention to detail and organizational skills.
Excellent verbal and written communication skills.
Proficiency with Microsoft Office, CRM platforms, and online bid portals.
Familiarity with construction drawings, material takeoffs, or DOT specifications is desirable.
Ability to manage multiple deadlines in a fast-paced, team-oriented environment.
Work Hours
Full-time, 40 hours per week.
Weekday shifts between 7:00 AM - 5:00 PM.
