A Sales Order Administrator contributes to the success of Hartwig by supporting our Sales team in accurately processing the sales order and invoicing of CNC machinery. We serve in a variety of industries that rely on the Hartwig team to repair, inspect and troubleshoot their machine tool equipment. Main responsibilities of this full-time position based in our St. Louis office include:
- Creating accurate order documentation in the accounting system (Salespad) for machine and accessory projects
- Communicating with sales team, vendors, and customers throughout all aspects of the machine order process
- Working cohesively with other accounting department team members on tasks that arise
- Preparing and maintaining timely state UCC (Uniform Commercial Code) letters, documentation, and files
- Generating month end reports, and reviewing and balancing accounts
- Using reports, tools and a variety of office systems to process orders, support sales and maintain customer relationships
- Preparing purchase orders, invoices, researching questions, and adjusting invoices as needed
- Determining sales tax compliance for customer invoicing
The Skills Individuals who ideally fit this role should meet the following qualifications:
- Two- or four-year degree in business related field preferred
- Two or more years administrative experience, preferably in a manufacturing or distribution environment
- Experience in Accounts Payable and invoicing
- CRM and accounting software experience - Microsoft Dynamics CP, Salespad preferred
- Proficiency in MS Office products, specifically MS Word and Excel
- Proficiency in Adobe DC editing documents
- Consistent attention to detail and follow through with ability to adapt to changing priorities
- Proven numerical, problem solving and decision-making ability
- Analytical thinking and systems/process driven
- Excellent interpersonal skills such as collaboration, listening, respect and work ethic, which lead to lasting and trusting relationships with team members and customers
