About the Role (Contract to Hire)

We are seeking a Sales Operations Specialist who will be responsible for developing eIVF's contract lifecycle management for the sales cycle. Critical to the success of this role is the ability to administer and manage contracts, implement, and maintain the process by which contracts are created and stored. The objective is to ensure that contracts can move quickly from creation to execution to support the Sales team. In addition, this role will be cross-functional in understanding our contract needs as it relates to compliance and the customer. This involves the ability to manage expectations, communicate effectively to relevant team members, and handle negotiation processes with speed and professionalism. The role includes giving open, honest, and direct feedback across sales, implementations, and technical teams to support the company's overall sales strategy and goals. Position will be a based in our Irving TX office. And this is a full-time employee role with no sponsorship available. For the right individual, this could be a recent college graduate willing to roll their sleeves up and learn about the fertility industry and contract administration.


Responsibilities

  • Manages end-to-end contract lifecycle for all contracts including License Agreement addendums, new product and addendums, Provider/User changes, Lab & Machine adds/replacements, Non-Disclosure Agreements, License Agreements, and renewals to support the sales cycle.
  • Maintains records for communication and documentation related to finalized contracts and those in progress.
  • Manages a comprehensive contract database and substantial recording and audit trail.
  • Assesses, monitors and mitigates contract-related risks that may have detrimental effect to business.
  • Creates and defines a contract management process fit for scale and eIVF's sales model, and develops standard operating procedures and key performance indicators accordingly.
  • Tracks critical contract deadlines and deliverables to support the sales cycle.
  • Gains a deep understanding of eIVF's order process, standard legal clauses for use, and risk management as it relates to non-compliance.
  • Communicates and presents information to executives and stakeholders on all contract-related matters.
  • Monitors the support ticket system for client tickets related to additional enhancements, add-ons, and other services/requests that require additional cost by the client.
  • Works closely with accounting for client invoices to be paid and collection of past-due accounts to include communicating directly with the clients for collection purposes.
  • Responsible for entering and maintaining all sales contract information in the Company's CRM system Hub Spot.
  • Audits client accounts to locate missed invoices or payments to ensure eIVF is collecting on all amounts owed by clients, including working with clients to ensure timely collections.
  • Tracks contract renewal deadlines and coordinates with clients on renewing agreements, communicating changes in contract terms (e.g., price increases, services addenda), and ensuring the timely execution of those agreements.
  • Works closely with the sales team on contract negotiations and details.
  • Works closely with the Development and IT team to ensure all Statements of Work are communicated to the client prior to requests by clients for additional work is completed.
  • Tracks user licenses by client to ensure accuracy and client is paying for all licenses granted to their facility and ensures company is in compliance with all AMA & EPCS requirements.
  • Complies with all Company HIPAA and Information Security policies, practices, and standards to include physical, technical, and administrative safeguards to protect the company, its clients, vendors, and partners.
  • Completes all required compliance training required by the company in a timely manner.

Qualifications

  • 2 or more years of work experience in contract life cycle preferably in software sales.
  • Bachelor's degree in business or other related field,
