Duties and Responsibilities

Sales & Client Relations
  • Deliver an authentic and engaging sales experience, coordinating all aspects of events from initial inquiry to final execution.
  • Qualify high volumes of inquiries, create and present proposals, and finalize group room and catering contracts with accuracy and attention to detail.
  • Collaborate closely with the Sales & Events team, Banquet Management, and the Culinary team to ensure seamless event execution.
  • Cultivate strong internal partnerships and maintain respect for the roles of banquet and culinary staff.
  • Meet and exceed sales targets through proactive outreach, client development, strategic planning, and market analysis.
  • Maintain accurate records of client activities and correspondence within the Sales & Events database.
  • Provide weekly reports on sales activities, achievements, and market insights, adjusting strategies as needed.
  • Generate new business by conducting outside sales calls and attending industry trade shows, promotional events, and networking functions.
  • Lead site tours and deliver compelling presentations to prospective clients.
  • Respond to RFPs within 24 hours.
  • Demonstrate expertise in client negotiation, contract terms, and competitive differentiation.
Event Management
  • Manage all aspects of event planning, including room block coordination, menu selection, meeting setup, décor, AV needs, and more.
  • Act as a liaison between the client and operational departments to ensure flawless execution.
  • Maintain thorough knowledge of operational workflows and requirements.
  • Monitor client satisfaction throughout the planning and execution process.
  • Prepare and distribute event documentation, including Banquet Event Orders, Resumes, and floor plans.
  • Conduct interdepartmental meetings to ensure alignment on event execution.
  • Foster long-term client relationships and generate repeat business.
Qualifications and Requirements
  • Minimum of 3 years' experience in event sales within a luxury or upscale environment.
  • Passion for food, wine, and hospitality.
  • Self-motivated with a creative, solutions-focused mindset.
  • Proven ability to meet or exceed sales goals with strong time management and organizational skills.
  • Expertise in sales strategy, event planning, and negotiation.
  • Strong financial acumen with experience in forecasting, revenue management, billing, and post-event reconciliation.
  • Exceptional interpersonal skills and ability to maintain positive relationships with clients and internal teams.
  • Clear understanding of hotel operations, event logistics, and industry standards.
  • Strong written and verbal communication skills; detail-oriented and able to manage multiple events simultaneously in a fast-paced environment.
  • Knowledge of the Willamette Valley wine region and the ability to promote local experiences.
  • Proficiency in client research and awareness of industry trends.
  • Experience with Delphi, Maestro, or other property management/sales systems is a plus.
  • Background in group room sales and hotel operations is advantageous.
