Headquartered in San Diego, Elite Security & Staffing is a national, premier security & event staffing company. We staff facilities and events with security guards and event staff primarily in California and Tennessee. Facilities under contract include stadiums, arenas, amphitheaters, convention centers, universities, office buildings, residential communities and hundred of other facilities where people live, work, and play.
We are looking to find a candidate that brings proven experience in this role and responsibilities related to working independently and with our Sales team. Responsible for overseeing preparation of bids, proposals and all sales related projects. Scheduling staff meeting and assisting sales staff as requested and contribute to company's social media presence and creation content for company's newsletter.
This position reports directly to the Director of Sales.

RESPONSIBILITIES
- Answers and handles telephone calls in a professional and timely manner; takes accurate messages with a high degree of professionalism and courtesy; arranges conference calls.
- Prepares quotes, contracts and RFP/RFI responses for clients and prospects.
- Exercises considerable judgement and discretion in handling sales-related inquiries.
- Composes, types, and distributes professional correspondence and memoranda, E-mails, and faxes using individual initiative and as assigned.
- Performs general clerical duties including but not limited to filing, photocopying, faxing, and mailing.
- Proactively establishes, and maintains highly organized filing system; files correspondence and other records.
- Maintains accurate records in HubSpot or similar CRM.
- Coordinates calendars and schedules appointments, ensuring all parties are informed of and kept abreast of schedules.
- Coordinates trade show and other event participation as required.
- Contribute to the company's social media presence to support brand visibility.
- Assists with the development of sales incentive contests including but not limited to developing materials and announcements, obtaining and reporting results, and purchasing and distributing prizes.
- Manages assembly and distribution of sales packets as part of follow-up to specific sales calls, either in response to cold calls or at the direction of the sales representative.
- Responsible for selecting & supporting sales demonstration tools and applications.
- Coordinates travel arrangements; completes expense reports and processes invoices; ensures that correct account codes are used and required signatures obtained.
- Generates and edits complex spreadsheets, including formulas, formatting and graphs.
- Creates and edits reports and slide presentations using Word and PowerPoint respectively.
- Coordinates meetings, including but not limited to preparing and distributing agendas and other meeting materials, reserving and preparing facilities, and recording and transcribing meeting minutes.
- Creation content for Company's newsletter to inform employees of company activities.
- Assists in development and implementation of department systems and procedures as needed.
- Demonstrates a high level of professionalism in dealing with confidential and sensitive issues.
- Assists with special projects as assigned.
- Performs other duties as needed by sales representatives or management.
MINIMUM QUALIFICATIONS, SKILLS, AND CHARACTERISTICS
- Associate's degree or equivalent, one to three years related experience, or equivalent combination of education and experience.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office applications, primarily Word, Excel and PowerPoint.
- Proficient in Adobe Suite / Creative Cloud.
