The Sales Coordinator is responsible for assisting with the daily operations of the hotel Sales & Marketing Department. This position thrives on organizational talents, a willingness to learn and ability to adapt to the unexpected day to day surprises of a sales office in hospitality. This position drives customer loyalty by delivering service excellence and closing the best opportunities for the property based on market conditions and property needs. The Sales Coordinator maintains a thorough knowledge of the hotel and all its grounds, products, and services as well as awareness of other roles and responsibilities throughout the organization.

RESPONSIBILITIES
  • Document group and individual inquiries on lead sheets and disburse to the appropriate manager.
  • Create booking contracts and/or banquet event orders as directed.
  • Create and communicate change reports daily.
  • Compile and distribute client profiles and maintain ongoing communication regarding client specifications with hotel department heads to ensure that all service-related needs are fulfilled.
  • Be fully knowledgeable of hotel services, amenities, capacities and operational systems and process in order to accurately respond to customer questions and requests for information.
  • Assure that all incoming and outgoing correspondence is received, mailed, emailed and/or filed as required.
  • Responsible for information broadcasted on reader boards and door cards.
  • Perform clerical duties such as answering phones, typing correspondence and reports, filing, and answering phones.
  • Maintain and upkeep various filing systems, both electronic and print.
  • Assist in organizing site visits; greet and welcome visitors and provide comprehensive tours of guest rooms and public areas.
  • Create and distribute gift certificates approved by Sales Director or General Manager.
  • Maintain client database of organizations, individuals, social groups and corporate businesses.
  • Assist managers in scheduling appointments, meetings and travel arrangements for business trips as required.
  • Assist Sales Directors in promoting awareness of the property through developing formal presentations and organizing sales calls to local, corporate, association and leisure markets.
  • Maintain all office equipment and supplies.
  • Conduct all client interactions with the highest levels of integrity and professionalism, in keeping with company and brand standards.
  • Serve as problem solver in instances of guest dissatisfaction; resolve complaints, concerns or issues in a timely and helpful manner.
QUALIFICATIONS
  • High school diploma and higher education preferred.
  • At least one year of sales experience and event planning preferred as well as 6 months hotel experience.
  • Valid driver's license preferred.
  • Excellent organizational, communications, interpersonal, conflict resolution and negotiating skills.
  • Experience with banquet catering, sales process, client base, and general market knowledge.
  • Able to work independently with minimal supervision and desire to participate as part of a team.
  • Able to work evenings and weekends as needed.
  • Working knowledge of Fosse, Lightspeed, Microsoft Products, E-mail, Teams, and Event Temple helpful.
  • Develop and maintain rapport with key community contacts to ensure a visible presence in the community.
  • Must be able to work with a heavy workload in a fast-paced environment of multiple projects, while maintaining a minimal stress level.
  • Must present a professional image, through appearance, dialogue, and business practices.
