Viera Pools & Outdoor Living has an opening for a full-time, hourly
Sales & Contracts Administrative Assistant who is primarily responsible for providing sales & administrative support for Viera Pools & Outdoor Living, Inc. In addition, duties include the following:
- Conduct day-to-day administrative activities and general office support for staff and especially the Director to include producing and maintaining procedure manuals and standard operating procedures.
- Assist in all phases from initial sales lead to contract signatures to include but not limited to correspondence, pool design, facilitating color selection meetings, and finalizing contract documents.
- Coordination of permitting submittals to include but not limited to engineering calculations, NOCs, plot plans, PRC/ARC review, and construction drawings.
- Prepares Procore job templates for new and existing jobs.
- Assists in review and documentation of materials ordered, received, and inventoried.
- Create P.O.'s for final approval and invoices for payment and submit payment requests to Viera Builders.
- Provide other clerical duties as assigned by the Director.
Minimum Requirements A high school diploma required plus a minimum of five years of administrative experience preferably in an architecture office environment. Pool Studio 3D, CADD, architecture and design experience preferred. Experience using DocuSign, Procore and Prism software is a plus. Strong knowledge of Microsoft Office programs and other office equipment. Strong customer service skills. Excellent verbal and written communication skills. Experience with and knowledge of general construction practices. Understands and follows work procedures and rules. Must be a team player.
