Position : Sales Contract Administrator Location : San Jose, CA Duration : 9 Months Contract Total Hours/week : 40.00 1st shift M-Fri. 6/9AM start time (flexible) 8 hour work day Job Description: Sales Contract Administrator - This role will be part of a team that manages the contract administration functions for Reagent Rental Contracts, Reagent Plus Agreements, Reagent Purchase and Service Coverage Contracts, and Government Contracts.
- You will be expected to execute best in class, innovative, enterprise contract proposal preparation and administration, and assist with developing policy, process and documentation to ensure the effective implementation of complex, critical contract activities, managing business opportunities and risks appropriately. Specifically, this role will consult, structure, negotiate and finalize effective, executable, strategic sales contracts and distribution agreements.
Duties and Responsibilities: - Initial project will entail scanning existing sales contracts, amendments and other applicable documents, creating folders in Microsoft Teams, and posting the scanned documents in the Microsoft Teams folders.
- Work directly with Sales Contracts Manager to ensure contract terms and conditions are negotiated in accordance with established BD contract standard T&C policies and procedures, as well as legal and regulatory requirements
- Manage the sales agreement contract lifecycle including (but not limited to) planning, analyses, drafting/redlining, negotiation, facilitating internal approvals, execution, amendment, extension and retirement
- Facilitate both internal and external calls, in order to review and resolve conflicts and finalize contracts
- Respond accurately to customer and field sales personnel inquiries; providing pricing, terms, availability, terms and conditions, etc.
- Ensure customer and material master data is maintained accurately and completed
- Support Client sales team on issue resolution and deal management regarding purchase order and Reagent Rental Contract T&Cs
- Maintain high level of customer support-responsiveness, timeliness, customer service (contract questions, issues)
- Coordinate post-deal activities and ensure smooth transition with post-deal team counterparts in Instrument Order Management and/or Sales Contract Administration
- POC for Contract Consultant with first review of non-standard language provisions. Assist in drafting and seeking approval of new language when necessary
- Act as subject matter expert in preparation and analysis of proposals
- Develop and maintain standard policies and procedures to drive operational efficiencies and standardization of terms & conditions
- Ensure that risks are mitigated, and provisions are preferred or acceptable per company standard; and that contract terms & conditions are negotiated in accordance with established Client
- Commercial Operations policies and procedures, as well as legal and regulatory requirements. As necessary, assist in modifying and updating department policy and procedure documentation
- Support process improvement projects (templates, standard terms, system updates, etc.) to drive such operational efficiencies and standardization of terms & conditions
- Maintain hard copy contract files. Must manage own filing in a timely manner
- Responsible to manage and track all customer interactions using the SAP contract's internal notes
- Follows Environmental, Health, and Safety (EH&S) policies and procedures. Takes responsibility for safety in immediate work area. Notifies supervisor of all observed hazardous conditions or unsafe work practices
- Performs other related duties and assignments as required
Qualifications: - Minimum High School Diploma; college degree preferred
- 3+ years of commercial contract development experience
- Strong understanding of commercial and government contracts, including contract strategy development, negotiations, policy development and standardization of general terms with Medical Device products
- Must be able to work independently, multitask and prioritize workload in order to meet demanding deadlines including flexible work hours
- Strategic and analytical problem solver with strong business acumen
- Demonstrated customer centricity skills
- Demonstrated ability to act with speed, agility and accountability to drive desirable outcomes
- Proven ability to quickly establish credibility, trust, and support within all levels of organization
- Excellent verbal and written communications skills are essential
- Proficiency in Microsoft Office, including Word and Excel, required
