We are looking for an organized, detailed-oriented individual with strong customer service skills to join our team. The Sales and Administrative Assistant will be responsible for helping to maintain the smooth functionality of our office, including, and not limited to staff, sales team, customers, and internal/external support staff.

Job Responsibilities:
  • Maintains continuity of work operations by documenting and communicating needed actions to management, discovering irregularities, and determining continuing needs.
  • Completes administrative projects like filing, scanning new contracts, change order paperwork, processing submittals and closeouts,
  • Accomplishes department and organization mission by completing related tasks and projects as needed.
  • Maintains rapport with customers, managers, and employees by researching and developing new services and methods, setting priorities, and problem-solving for workflow issues.
  • Schedules meetings, answers phones, and maintains digital and physical records.
  • Prepares agendas and takes notes at meetings and archives proceedings.
  • Creates and revises systems and procedures by analyzing operating practices, analyzing utilization of computer systems and software, and implementing changes.
  • Inventories and orders office supplies.
  • Assists in the preparation of reports and presentations and aids in mail and delivery processing.
  • Serves as liaison with technical support staff for office equipment.
  • Resolve administrative problems by analyzing information, identifying, and communicating solutions, and coordinating courier solutions and FedEx shipments.
  • Following up on sales leads, inquiries, and proposals to support the sales team in closing deals.
  • Providing administrative support to the sales team members, including preparing proposals, contracts, and other documents as needed.
  • Compiling sales data, preparing reports, and creating presentations for sales meetings or management review.
  • Develop and maintain expertise in organizational policies and procedures to ensure alignment with regulatory standards and operational objectives, providing guidance, training, and oversight to ensure consistent compliance and effective implementation across all departments.
Job Requirements:
  • High School Diploma
  • 5 years' experience in Administrative Assistant role or similar
  • Highly proficient in MS Office (Outlook, Word, Excel, PowerPoint, Teams)
  • Ability to use Salesforce, Construct Connect, and Dodge proficiently.
  • Understanding of ordering and vendor procedures
  • Ability to build vendor relationships.
  • Ability to multitask and coordinate multiple travel schedules and priorities.
