Sales Administrative Assistant

Job Responsibilities:

As an Administrative Assistant, you will be responsible for performing a variety of administrative clerical function to include; managing calendars, answering phone calls, providing information and taking dictation. You will also be responsible for composing memos, transcribed notes and research /create presentations. The administrative assistant will report to a manager or supervisor.

The responsibilities for this role include:
  • Processing sales orders and ensuring the accuracy of key information such as pricing, product details, delivery information, and timely data entry into the system
  • Coordinating with logistics and warehouse teams to track and ensure proper order fulfillment
  • Supporting the preparation of sales reports, presentations, and internal documentation
  • Maintaining and regularly updating customer databases and pricing records
  • Communicating with the Sales Team regarding order status, product availability, delivery updates, and any potential order cuts
  • Handling invoicing, including issuing and sending invoices to customers
  • Ensuring compliance with internal procedures and company policies
  • On the days leading up to the end of the month (only when necessary), it may be required to stay an extra hour.
Job Requirements

As a Sales Administrative Assistant you must have at least 3 years of experience in a similar role. You must have strong computer skills. We are looking for someone that has strong organizational and multi-tasking skills.

Additional requirements for the Sales Administrative Assistant will include:
  • Bilingual (English & Spanish)
  • Monday - Friday 8am - 5pm (1hr Lunch)
  • Excellent communication skills both written and verbal
  • It is imperative to know how to use the Office suite, including Excel, and to be able to create presentations in PowerPoint.
  • The candidate needs to have a basic understanding of receiving and processing POs, as well as sending invoices to customers.

Compensation / Pay Rate (Up to): $23.00 - $25.00 Per Hour
