Apave America is currently seeking a full-time Safety Admin to provide administrative support to the Safety team based out of the Houston, TX branch office location. Previous experience with third party registry accounts (e.g. DISA Works, NCMS, TPS Alert, and DCM) is preferred. Experience working in a Safety Administration or Human Resources (HR) role will be considered a strong asset.

Position Overview

The Safety Admin is responsible for providing crucial administrative support to the Safety Department and Operations teams ensuring compliance with local, state, and national safety laws, regulations, and ordinances as well as company policies and procedures. The ideal candidate will have previous experience working in Human Resources (HR) and/or Safety Administration with experience in third-party registry accounts such as DISA Works, NCMS, TPS Alert, and DCM.

Key Responsibilities

Administrative Support, Compliance and Data Management:

• Process and maintain background checks.

• Manage and coordinate drug and alcohol testing and maintain updated platforms to include DISA Works, NCMS, TPS, and DCM.

• Process Motor Vehicle Reports (MVR's) and maintain employee drivers list.

• Provide support to other departments throughout the company such as HR Onboarding, Operations Directors/Management, and Safety Directors/Management.

• Assist staff with safety issues, concerns and questions; collaborate with other departments and stakeholders to promote a safety-conscious culture.

• Manage third-party registry accounts for the company (pertaining to drug & alcohol programs), including ISNetworld, Avetta and PEC/Veriforce.

• Maintain accurate records of safety inspections, incidents, training, and other safety-related activities.

• Maintain and update safety databases, spreadsheets, and other relevant information systems.

• Assist with the development and delivery of safety training materials and communicate safety information, policies, and procedures to operations management teams, employees and stakeholders.

• Conduct regular safety audits to verify compliance with relevant safety regulations, standards, and laws; ensure compliance with industry-specific safety regulations (e.g., OSHA, PSM, DOT, NFPA, GWO, etc.).

• Manage and audit safety compliance for subcontractors, vendors, and third-party administrators.

• Assist in analyzing safety data to identify trends and areas for improvement.

• Assist in the distribution of appropriate personal protective equipment (PPE) and ensure proper use and maintenance of safety equipment as needed.

• Perform other related duties, as assigned.

Qualifications, Experience and Requirements:

• High School Diploma or equivalent is required.

• Basic understanding of clerical and administrative procedures required.

• Previous experience with third-party registry accounts (e.g., DISA Works, NCMS, TPS Alert, and DCM) is strongly preferred.

• Experience working in Human Resources (HR) and/or Safety Administration roles is preferred.

• Prior experience handling compliance audits is considered an asset.

• Must be able to maintain punctual and regular attendance.

• Ability to prioritize and complete tasks with minimal supervision is essential.

• Intermediate skillset of Microsoft Office Suite, Excel, and Outlook required.

• Ability to multitask and thrive in a fast-paced demanding environment is crucial.

• Excellent oral and written communication skills.

• Valid Driver's License and pre-employment background check will be required

• Ability to collaborate harmoniously with internal and external stakeholders to achieve common goals and safety compliance.

• Professional demeanor and attention to detail.

• Must be capable of managing tasks, schedules, and information.

• Excellent time-management skills and ability to meet deadlines.

Work Conditions:

• Position is office-based on site or out of a branch office.

• Interaction with a wide range of stakeholders.

• Required to sit, use hands and fingers, handle, feel, reach with hands and arms, push, pull, carry, stand, walk, stoop, kneel, or crouch.

Physical and Mental Requirements:

• Must be able to lift up to 50 pounds.

• Must be able to sit for prolonged periods of time at a desk and work on a computer.

• Ability to work effectively in an open floor workspace; manage noise, distractions, and privacy, while leveraging the potential for collaboration and communication.
