Description
Position Summary:
This position has primary responsibility to provide administrative support to the elementary school principal and building. This position is also responsible for providing information and support to staff, parents, students, and the community.

Position Duties:
Essential Job Functions:
1. Oversees the day to day activities within the Elementary School Office which include, but are not limited to the following:
Answer and manage incoming calls.
Receive and interact with incoming visitors.
Coordinate the flow of internal and external information and communications such as mail, bulletins, and electronic notifications.
Develop positive, supportive relationships with all stakeholders in the building (students, staff, parents, community members, etc.).
Maintain various database records within District systems.
Maintain and file records.
Arrange and coordinate meetings and events.
Record and distribute minutes of meetings.
Prepare and edit correspondence, communications, presentations and other documents.
Manage and maintain Principal schedule, appointments and travel arrangements as needed.
Secure and welcome substitutes and manages the substitute employee process.
Assist with maintenance of the school web site, Facebook page, and other electronic media related to school.
Assist sick or injured students.
2. Fiscal management including, but not limited to:
Input and manage building budget including grants and/or gifts.
Purchase and maintain inventory of office supplies, instructional materials, equipment, and professional development materials.
Maintain fiscal records for purchasing cards.
Ensure proper cash handling procedures for field trips, fundraisers, etc including collecting money, issuing receipts, and completing bank deposits.
Manage payment of student fees.
3. Coordinates project based work such as, but not limited to:.
Manage student enrollment and registration process.
Assemble and analyze data to prepare reports and documents.
Track end of year checkout procedure for staff.
Build annual calendar of events.
Coordinate and track safety drills according to district procedures.
4. Student Management which includes, but is not limited to:
Greet and assess the needs of students to maintain a supportive office climate.
Maintain confidentiality.
Maintain accurate behavioral and attendance data in student management system.
Maintain communication with families to support student success.
Manage and coordinate building volunteers
5. Coordinates Educator Effectiveness process for the building including, but not limited to:
Manage classroom observation records and evaluation forms
Maintain 3-yr calendar and annual observation calendar
Qualifications
1. Education: Equivalent to Associate Degree.
2. Experience: General office experience with minimum of three years of experience with special emphasis on written and verbal communications skills and budget and financial skills.
3. Special Requirements: Proficient in Microsoft Office Suite (Word, Excel, Power Point and Publisher). Experience working with database programs similar to the District's financial and student management systems.
4. Bilingual candidates (Spanish/English) with excellent verbal and written communication skills preferred (not required).
