Job Summary Accountable for overall supervision and direction of all activities related to the management of the University Bookstore, which includes but is not limited to developing strategic plans and objectives, employee management, physical facilities, financial controls, inventory controls, purchasing, merchandising, marketing and promotional activities. Implements creativity and innovation in maintaining a sustainable and profitable University Bookstore. Manage the day-to-day operations of Bookstore, and Cellphones. Coordinate and oversee major purchases, requisitions, negotiation of contracts that relate to specific operations, interface with vendors and requestors to develop relationships, the operations of the Mail Center.
Primary Responsibilities Management/Oversight (40%) - Directs daily operations of the bookstore, and Print Services, to ensure that operations are aligned with university mission and consistently provide high levels of customer service.
- Exercises independent judgment to make on-the-spot decisions, manage exceptions to policy, and respond to a broad range of inquiries from staff, faculty, and external partners.
- Serves as the primary liaison with campus departments and administration, contributing to cross-functional communication, special projects, and institutional initiatives.
- Manages all aspects of staffing, including recruitment, training, scheduling, and performance management for full-time, part-time, and student employees.
- Cultivates a collaborative, service-focused work environment through leadership, conflict resolution, and employee engagement.
- Oversee vendor relationships and business operations, including contract negotiations, transaction oversight, and policy compliance across auxiliary services.
Planning Objectives and Up-to-Date Financials (20%) - Determines long-range, strategic, and master plans; regularly ensures that store goals, progress, plans, and objectives are in alignment with the educational mission of the University.
- Maintains fair and reasonable customer pricing policies while ensuring that Bookstore operations are profitable.
- Determines the overall direction of product and service offerings and provides a retail environment that offers products and services that meet the spiritual, academic, and social needs of students, campus employees and outside customers.
- Determines annual operating budgets with Financial Services, and immediate supervisor.
- Develops and improves financial reports and statements; determines and reviews monthly annual sales, merchandise/inventory budgets and financial statements; reviews and approves monthly general ledger and payroll journal entries and coordinates audit development and controls with campus internal auditors.
Purchasing, Merchandising, and Selling of Products (15%) - Ensures appropriateness of products and maximizes sales to minimize loss and ensures that merchandise areas are strategically arranged, well-stocked, and items are tastefully displayed.
- Ensures that merchandise open-to-buy budgets and sales goals are being met through monthly review meetings.
- Coordinates timely delivery, prioritizing, and processing of incoming merchandise.
- Coordinates new product offerings and services working with buyers.
- Maintains awareness of emerging trends and changes by attending industry tradeshows, conventions, and peer networking.
- Maintains the Bookstore web page.
- Responsible for specific buying assignments, which include but are not limited to soft goods, clothing, back packs, caps, electronics and office supplies.
Marketing, Branding, Promotional and Reasonable Inventory Controls (10%) - Overseas and ensures that merchandise, advertising, marketing, and promotional activities are cost effective, appropriate, and fit within the brand integrity and mission of the bookstore.
- Works with the Bookstore team to ensure that proper inventory management controls, tools, and security measures are in place and implemented.
- Reviews profitability of individual items and departments with buyers.
- Ensures that event history, trends, and other industry information is reviewed and utilized in determining proper inventory levels.
- Reviews and discusses annual physical inventory training, processes, and results with the bookstore team and immediate supervisor.
Training, Meetings, and Other Tasks (15%) - Provides ongoing staff training on contracts, purchase orders, vendor relationships, customer service and other issues as they arise.
- Assists with safety, security and theft program development and administration.
- Oversees and assists in planning, layout, and design of store facilities.
- Assists with coordinating yearly inspections with University Safety Office.
- Performs other tasks as assigned by VP of Operations.
Minimum Qualification and Experience Requirements - Bachelor's degree in business administration required and preferably in Business Management or Retail Management.
- 5 years of progressive experience in retail management and operations, buyer or equivalent required. Experience in Travel Business, Receiving, and Stores. General knowledge of the operations of the Mail Center is also preferred.

Approximate starting salary: $73,000 - $86,000. The wage offered could be above or below range based on education and experience as it relates to the job description.
