It is an exciting time to be a part of Team Lilly. Do you have experience working in a GLP environment managing records and archiving? The Lilly Research Laboratory (LRL) Archivist role may be what you are looking for. We are seeking an experienced data records manager that would serve not only as a department expert in Toxicology records but serve as the LRL archivist of all research records, whether provided by a third-party organization (TPO) or generated internally at Lilly. We need someone who understands the purpose of record and sample retention, differentiate between record and sample types, and guide proper archival procedures for LRL. You will be supporting the Toxicology department as the Records and Information Management steward as well as the overall LRL Archivist for discovery, nonclinical and clinical records and samples.


Toxicology Records and Information Management

  • Serve as the department expert on Lilly record retention guidelines, liaising with the Global Records and Information Management Team, to guide departmental individuals on new policies and procedure, ensure local record retentions are implemented and ongoing compliance, and resolving departmental questions and concerns related to record retention procedures.
  • Provide stewardship over department records regardless of media.
  • Drive local initiatives within the department such as annual records clean-up activities.
  • Assist with corporate initiatives such as providing input on new corporate SOPs, management of corporate electronic records (e.g. email), and ensuring implementation at the local level.

LRL Archivist

  • Serve as the point of contact for TPOs on long term record and sample retention directives for discovery, nonclinical and clinical materials. This includes but is not limited to:
    • Reviewing inventories and providing directives to TPOs in which materials were temporarily stored.
    • Liaising with long term archival TPOs on policies and procedures, shipments to be received or returned and materials to be destroyed.
    • Ensuring updated Purchase Orders (PO) and Scope of Work (SOW) contracts are in place with long term archival TPOs. Monitor PO and contract compliance.
  • Collaborate and manage small archival team within the LRL Archives. Activities include but are not limited to:
    • Reviewing received material shipments from TPOs
    • Ensuring proper retention codes of materials are applied to materials either received by TPO or received by an internal Lilly department.
    • Scanning of lab notebooks when required
  • Maintain internal databases on materials location and/or destruction.
  • Ensure SOP and procedures are in place to track retention periods.
  • Determine material archival or disposition from acquired assets, collaborating with legal team and scientists.
  • Resolve any concerns with TPOs regarding material archival or disposition.

Basic qualifications:

  • Bachelor's degree in a related science and/or archivist field such as biology, library sciences, or archival sciences.
  • 2 or more years of experience in relevant industry setting.

Additional Skills and Preferences:

  • Project management experience
  • Excellent communication skills (written and oral)
  • Attention to detail and ability to multitask/organize.
  • Current understanding of archival expectations of nonclinical and clinical materials
  • Strong teamwork skills with internal and external partners
  • Costing and contracting experience.

Actual compensation will depend on a candidate's education, experience, skills, and geographic location. The anticipated wage for this position is

$76,500 - $140,800

Full-time equivalent employees also will be eligible for a company bonus (depending, in part, on company and individual performance).
