The Regulatory Compliance Administrative Assistant reports to the Director of Regulatory Compliance and is responsible for performing various administrative and regulatory support duties to assist the Regulatory Compliance Department in maintaining adherence to licensing, reporting, and operational requirements.
  • Assist in preparing and filing insurance entity and corporate licensing applications and renewals, including interaction with state and federal agency personnel
  • Monitor department email inboxes and track assignment deadlines
  • Assist in drafting, developing, monitoring, and updating business unit policies and procedures to ensure compliance with vendor contracts, license requirements, and applicable laws and regulations
  • Participate in projects and initiatives aimed at improving operational efficiencies and strengthening internal controls
  • Support in developing recommendations related to policies and procedures to help ensure regulatory compliance
  • Review, log, and route incoming and outgoing mail
  • Answer incoming telephone calls and respond to correspondence directed to the Regulatory Compliance Department
  • Organize and maintain department files and records in accordance with retention policies
  • Provide written and oral communication on compliance matters to various departments and levels of management
  • Perform data entry tasks accurately and timely manner
  • Assist with employee licensing coordination and tracking
  • Demonstrate ability to accomplish daily goals and maintain regular, reliable attendance
  • Adhere to company policies and procedures as outlined in the employee handbook
  • Perform other duties as assigned
Required Knowledge, Skills, and Abilities:
  • Minimum of two years of administrative assistant experience
  • Proficient in Microsoft Office Suite, including Word, Excel, and PowerPoint
  • Strong attention to detail and organizational skills
  • Ability to manage multiple tasks and prioritize effectively
  • Demonstrates professionalism, confidentiality, and a positive attitude
  • Strong written and oral communication skills
  • Interpersonal skills with the ability to work effectively across departments
  • Deductive and inductive reasoning skills
  • Familiarity with the insurance industry or regulatory environment is preferred
  • Flexible and adaptable with a willingness to learn and take initiative
  • History of positive performance evaluations and exemplary attendance
