This position supports the Registration and Records function for the college and the operations of the Registration and Records (R&R) team. The Registration and Records Associate assists the Registration Manager as the primary contact for students, parents, staff, and other involved stakeholders relating to registration process and educational records for Undergraduate (UGRD) classes and processes. The Registration and Records Associate assists students with registration for UGRD classes, and student record requests. This position requires a high-level attention to detail and accuracy. Additionally, this position also provides customer support services to the public on behalf of the department using a variety of styles and approaches that reflect an understanding and acceptance of the role of culture in a diverse, multicultural workplace.
Essential Duties and Responsibilities:
The following are the functions essential to performing this job:
1. Deliver exceptional customer service in a fast-paced environment, adeptly handling inquiries related to UGRD programs, class offerings, prerequisites, enrollment procedures, and payment options.
2. Monitor and manage Registration and Records email accounts, responding promptly and redirecting communications as necessary.
3. Assist students in navigating online registration systems (PeopleSoft) and enrollment services platforms (Navigate and Slate), including entering student permissions in PeopleSoft for class enrollments.
4. Provide backup support for High School Dual Enrollment and High School Open Campus registration processes, enrollment verifications, unofficial transcript requests, and student profile updates.
5. Ensure accuracy in student records, registration, and demographic information updates within PeopleSoft, while adhering to academic policies, administrative procedures, and FERPA regulations.
6. Offer guidance to students on completing Registration and Records forms and communicate any errors or scheduling inconsistencies to relevant staff members.
7. Maintain comprehensive record-keeping by scanning and linking required documents into Perceptive Content daily.
8. Foster collaboration with campus offices to support student success and retention, and assist with data changes such as major changes and tuition rate adjustments.
9. Provide inclusive customer support to faculty, staff, students, and external stakeholders, prioritizing open and timely communication.
10. Demonstrate autonomy, discretion, confidentiality, and sound judgment in all tasks, working effectively with minimal supervision.
11. Perform additional duties as assigned.
Required Minimum Qualifications:1. Associate degree in a relevant field.
2. Proficiency in using student information database systems such as PeopleSoft.
3. Strong customer service skills, with experience in a fast-paced environment.
4. Ability to interpret and apply academic policies, administrative procedures, and FERPA regulations.
5. Excellent communication skills, both written and verbal.
6. Attention to detail and accuracy in data entry and record-keeping.
7. Ability to work independently with minimal supervision, while also collaborating effectively with team members.
Desired Qualifications:1. Extensive experience managing registration processes within a student information database system in a higher education setting, ensuring seamless enrollment procedures for students.
2. Experience maintaining a high degree of accuracy and attention to detail.
3. Experience with Enterprise Resource Planning (ERP) systems, such as PeopleSoft.
4. Experience with Perceptive Content or document management system.
Work Schedule:Monday - 10am - 6pm Tuesday - Friday 8:30am - 4:30pm, with occasional Thursday hours of 10am - 6pm and Saturday hours
