Regional Manager Position Summary The Regional Manager will oversee property operations across a portfolio of housing units. This position will provide leadership, training, and guidance to the Property Managers of assigned properties. The Regional Manager will conduct site visits and review financial reporting from each property to monitor operations and create a plan to address opportunities. Essential Functions Operations: Visits each property on a regular basis, performs a site inspection utilizing a standardized checklist including review of lease files, new applications, petty cash, time sheets, exterior conditions, curb appeal, status of projects, income/expenses, key logs, vacant make ready units, and marketing efforts. Creates a performance improvement plan for each property based on site inspection results. Oversees the processing of work orders, payroll, mileage, and invoicing. Monitors internal processes of inventory control and purchasing. Ensures contracts with vendors are in place for each property. Works with insurance adjustors and contractors when there has been a property casualty. Works through the bidding process for large-scale projects and submits for approval. Responds to emails throughout the day. Uses independent judgement and discretion to make decisions to ensure the successful operation of the properties. Financial: Maximizes income and cost controls for each property. Reviews and analyzes monthly financial reporting and budget variances to determine property successes and opportunities. Oversees the annual budgeting process with Property Managers and the Director of Housing Management. Monitors leasing/renewal activities through Yardi Software system. Monitors accounts receivable and accounts payable functions at property offices. Approves purchase orders up to $750. Supervisory Duties: Provides leadership, guidance, and motivation to employees to achieve organizational goals. Conducts training of team members to maximize their potential. Empowers team members with sills to improve their confidence, knowledge, and communication skills. Contributes to the growth of the organization through a successful team. Recruits, interviews, and recommends candidates for hire, and manages the transfers, promotions, and performance management processes. Provides training and guidance related to processes, procedures, goals, and standards. Prepares performance evaluation documentation; reviews and conducts performance evaluation meetings. Reviews and approves employee's timecards and manages time off requests. Other Duties: In the absence of a Property Manager, the Regional Manager preforms all the duties of the Property Manager. Attends quarterly compliance and leadership training. Demonstrates respect and regard for the dignity of all residents, families, visitors, vendors, and fellow employees to ensure a professional, responsible, and courteous environment. Communicates effectively with internal and external customers with respect to differences in cultures, values, beliefs, and ages, utilizing interpreters when needed. Other duties as assigned. Education and Experience 5 to 7 years of experience in the property management field with property leasing and resident services experience strongly preferred. Minimum 3 years of experience with specific training in housing management or related management context. Experience reviewing and analyzing financial reporting to identify strengths, opportunities, and trends. Customer service experience such as retail or hospitality desired. Experience or familiarity with local, state, and federal service programs preferred. Sales experience is a plus. Experience using Yardi software system is a plus. High school diploma or equivalent preferred. Knowledge, Skills, and Abilities Strong leadership skills, including the ability to motivate a team to work together to achieve shared goals and vision. Must demonstrate ability to review and process information to determine what it means, how it fits together and how to respond to it. Strong written and verbal communication skills which demonstrate the ability to interpret, clarify, and advise on program objectives and tasks. Excellent customer service and interpersonal skills to interact with prospective and current tenants. Attention to detail to ensure applications are accurate and tenant issues and questions are adequately addressed. Strong problem-solving skills to find effective solutions for a variety of issues. Advanced knowledge of rental contracts, property laws, and anti-discrimination laws. Working knowledge of computers including Outlook, basic Excel, Word, Publisher, and PowerPoint required. Physical Demands and Work Environment Flexible work hours including after-hours response in the case of an emergency. Work includes both inside and outside environments. Required to be onsite at properties 3x/week; ability to work from an office approximately 2x/week. Must be able to work in various elements. Driving is routinely required for positions with multiple sites. Ability to walk property/properties. Must be able to sit and stand for extended periods. Must be able to lift 15-20 pounds. Exposure to diverse communities including low-income neighborhoods.
