Job Specific Working Conditions:
The Chicagoland Region is prayerfully seeking to hire a Regional Administrator. Our ministry is present throughout the Chicagoland region and is expressed through , this ministry region currently includes 20 local areas and 27 full-time staff members. This position provides administrative support for the regional office, acting as a liaison between the regional director and area offices in communicating mission policies and procedures. This individual will represent Young Life, internally and externally, in a personable manner by demonstrating flexibility, resourcefulness and a professional attitude.
To successful in serving the mission in our region will require someone who is able to create systems around recurring administrative tasks, someone who is abe to anticipate needs that will help to accomplish regional vision and goals, and someone who is committed to growing and leading from a lens of belonging.
The salary range for this role is anywhere from $48,308-$60,462 per year. In addition, this role could be eligible for a Cost of Living Adjustment in addition to the salary range listed. The right candidate could work remotely within the greater Chicagoland Region, but would need to be able to travel for regional events. This role would require a minimum of 5-10% travel per month that is usually factored into a seasonal basis. On occasion, this role can be eligible for Young Life's camp assignments. This is a program that is a part of a staff person's job description that allows the employee to serve a role at one of Young Life's amazing camp properties for a month in the summer. Family can accompany the employee on their camp assignment making it a truly amazing experience.
Regional Administrator I
Summary:
To provide administrative leadership and support for a region with less than 15 areas and no more than 30 staff, acting as liaison between the regional director and area offices in communicating mission policies and procedures, in alignment with regional, divisional, and mission wide priorities.
Essential Duties:
Spiritual Development - "Following Jesus" includes prayer and spiritual disciplines, fellowship, growth and health and church relationships.
Develop a yearly personal growth plan that fosters a vibrant spiritual life, including time for solitude, retreat, reflection, study, prayer, and worship. Seek and maintain relationships and disciplines, in the context of active participation in a church community. Actively participate in the spiritual life of the Young Life community. Assist the Senior/Regional Director in ensuring that all Young Life ministry in the region is designed and carried out with a dependence on prayer that takes place out of the overflow of a personal relationship with Jesus Christ.
Leadership Development - "Equipping staff, leaders, and committee" includes key volunteer care, recruiting, team building and training, supervision and vision casting. Assist Regional Director in maintaining oversight and casting vision for reaching "every kid" within the region. Facilitate the staff evaluation process. Work with the division and Mission Services to support mission-wide procedures and policies. Assist with personnel processes including interviewing, hiring, transferring staff, moving authorizations, and sabbaticals.
Resource Development - "Fueling the ministry" includes events, major donor care, public relations (branding) and development team. Assist in overseeing financial health in the region, including reviewing deficit reports. Manage and maintain all regional accounts monthly. Build financial and donor related reports as needed. Build case statements and presentations for top donors. Assist in creating and maintaining the region's fundraising strategy, ensuring excellence in communication to donors and event support as applicable.
Direct Ministry - "Proclaiming and modeling" ministry. Ensure the development and implementation of measurable plans for the health, nurture and encouragement of staff, volunteer leaders, and committee members. Attend and help coordinate logistics, schedule, and travel arrangements for regional meetings and other YL meetings, as requested. Manage regional camp requests in conjunction with the division and camping. Manage regional work crew in conjunction with the division and camping. Manage camp assignment placement in conjunction with the division. Review Adult Guest Hosts applications for camping. Attend national regional administrator training and other professional development opportunities, when possible. Maintain a healthy working relationship with area administrators within the region, caring for, supporting, and encouraging them in their jobs. Maintain up-to-date knowledge of processes and ongoing support for staff in region (i.e. Concur, compensation, budget, CMI, YL Connect, etc.) Provide in-person and virtual training with area staff, committee, area administrators on mission policies and procedures. Manage processes around creation of new areas. Organize and facilitate staff care projects throughout the year (Christmas gifts, advent, lent, books, prayer calendar).
Ministry Support - "Taking care of business" includes accounting, administration, communication (internal), data management and strategic plan. Meet regularly with the regional leadership team. Promptly respond to questions and provide support and direction to area staff when needed. Resolve problems and questions in the absence of the Senior/Regional Director, as appropriate. Liaison with appropriate Mission Services staff during emergencies. Liaison between camps and staff for school season camping and when necessary for nationally managed camp events. Provide guidance and act as a reference on Young Life policies and procedures for staff and volunteers in the region. Verify and oversee regional ministry statistics (CMI, Strategic Mission Goals, etc.). Coordinate Senior/Regional Director schedule and travel arrangements, as needed. Strategic planning in partnership with the Senior/Regional Director. Prepare monthly expense reports. Review expense reports and check requests. Accurately process and pay all monthly expenses/bills. Analyze and maintain regional cash flow and yearly budget planning, including donation submission and communication with other regional staff on fundraising status. Review regional and area cash flows monthly (manage transfers, deficit reports, etc.). Manage budget and compensation timeline, process and regional approval of final budgets for areas and region. Compile and do initial review of compensation information for the Senior/Regional Director review and approval before submission. Manage and distribute various regional funds (subsidies, moving, etc) with Senior/Regional Director approval. Manage PCard access for staff in region (setting up new users, approvers, delegates, managing limits, changing limits, deleting, etc.) Coordinate and execute regional communication (newsletters, reminders, forwarding information from Mission Services, requesting information from staff). Provide support to volunteer led areas. Managing Commissioning application approval for area staff.
Education: BA preferred or equivalent experience. On-going education encouraged.
Working Conditions: Office environment or remote location. Occasional travel required throughout the year.
Qualifications for the Job: 3-5 years experience as an administrator or equivalent required. Knowledge of Young Life's culture and operations preferred. Ability to maintain confidentiality. Ability and experience in working with executive leadership. Ability to analyze complex problems, devise logical and creative solutions, and empower people to implement them. Excellent organizational skills with attention to detail and the ability to handle concurrent tasks and constant interruptions. Demonstrated proficiency in online computer applications (Microsoft Office Suite, etc.). Strong written and verbal communication skills. Essential accounting and spreadsheet skills. Ability to be self-motivated and proactive to manage multiple projects, deadlines, and priorities. Must be able to establish and maintain healthy, effective working relationships with other Young Life field staff and offer excellence in support to staff and the public.
