GENERAL PURPOSE

Under the direction of the Recreation Director, the Administrative Assistant for the Recreation Department plays a crucial role in providing administrative support through data entry, filing, and overall office organization, while ensuring efficient communication with other department staff. They will also support the administration in department goals and objectives.

FUNCTIONS AND DUTIES
  • Maintain records, documents, and databases relevant to department activities.
  • Monitor inventory and order supplies as needed for various areas.
  • Assist with budget tracking and financial record-keeping, including daily deposits for all areas.
  • Coordinate and oversee all pavilion and recreation center rentals, ensuring smooth scheduling and communication.
  • Assist with the planning and execution of department events and activities as needed.
  • Manage and implement the staff birthday gift program and employee spotlight initiative to support employee recognition.
  • Flexible part-time hours, with the schedule to be determined by the Recreation Director.
  • Assist with all other related duties as assigned.
MINIMUM QUALIFICATIONS

REQUIREMENTS
  • Applicants must be at least 18 years of age.
SKILLS AND ABILITIES
  • Must have excellent oral and written communication abilities.
  • Strong organizational skills.
  • Proficiency in office software (e.g., Microsoft Office Suite).
  • Good public relations skills and customer service skills.
  • Ability to work with all ages.
  • Ability to follow basic safety precautions and procedures.
  • Ability to establish and maintain effective working relationships with staff and the general public.
  • Knowledge of recreational programs, facilities, and community resources is advantageous.
  • Ability to make sound decisions in sometimes stressful environments.
EXPERIENCE REQUIRED
  • Experience working in a supervisory position is preferred but not required.
CONDITIONS
  • The Administrative Assistant typically works in an office environment but may also spend time at recreational programs and events.
  • Moderate physical activity. Ability to lift 15 to 50 pounds
  • Position requires walking, standing, lifting, and other physical activity.
  • Job has the potential to work Weeknights and or Saturdays.
